Patient Onboarding Associate- Call Center (part time hours)

About the role

Luna Physical Therapy is seeking a motivated and customer-oriented individual to join us as a Part-Time Onboarding Associate. As the first point of contact for new and existing patients, you will answer incoming calls and schedule appointments with our network of physical therapists. This remote role requires exceptional communication skills, professionalism, and the ability to thrive in a fast-paced, metrics-driven call center environment.

Responsibilities

• Deliver exceptional customer service in a fast-paced, metrics-driven call center environment.
• Manage patient registration, scheduling, rescheduling, and communications with healthcare providers.
• Accurately collect and document patient demographics, medical history, insurance, and appointment information.
• Handle inbound and outbound calls and emails while providing empathetic, solution-focused support.
• Navigate multiple systems simultaneously to perform data entry, screen sharing, and patient guidance.
• Adapt to changing processes, technology, and business priorities.
• Work independently in a remote environment while maintaining productivity, accountability, and schedule adherence.
• Maintain a distraction-free home workspace with reliable high-speed internet.
• Meet established quality, productivity, and performance expectations.

Requirements

• 1 year of office administration experience required.
• Demonstrates a high level of customer service and interpersonal communication skills.
• 1 year of call/contact center or other high call volume experience preferred.
• Proficient with Google Suite.
• Highly detail-oriented.
• Ability to multi-task in a fast-paced work environment.
• High School Diploma or equivalent.
• Must be able to work in the U.S. without restriction.
• Reliable, high-speed internet required; a backup internet option is required to ensure uninterrupted connectivity.

Due to employment and tax requirements, this remote position is currently available only in the following U.S. states: AR, KY, MS, SC, Norfolk VA, Virginia Beach VA, WV, AL, FL, GA, ID, MI, MO, IN, NJ, OH, TX (except Houston), TN, WI. Candidates must reside outside a 50-mile radius of Luna’s Nashville office.

• Monday – Friday (Part-Time Mid-Day): ET 11:30 AM – 3:30 PM, CT 10:30 AM – 2:30 PM, PT 8:30 AM – 12:30 PM
• Monday – Friday (Part-Time Afternoon): ET 3:00 PM – 7:00 PM, CT 2:00 PM – 6:00 PM, PT 12:00 PM – 4:00 PM
• Tuesday – Saturday (Part-Time): ET 12:00 PM – 4:00 PM, CT 11:00 AM – 3:00 PM, PT 9:00 AM – 1:00 PM
• Monday, Thursday, Friday, Saturday, Sunday (Part-Time Weekend Shift): ET 12:00 PM – 4:00 PM, CT 11:00 AM – 3:00 PM, PT 9:00 AM – 1:00 PM
