About the role
This person will provide administrative and organizational assistance to support our inpatient settings. This is a full-time position: 4:00 AM - 12:00 PM.
Responsibilities
- Maintain the daily scheduling board and complete six-week employee schedules by required deadlines.
- Collect, document, and track clinician productivity and competencies.
- Compile operational data, including missed evaluations/treatments, non-billable time, therapy census, and evaluation status.
- Manage referral query databases and monitor TherapyConnect emails, ensuring timely follow-up.
- Provide backup support to rehab technicians and the office coordinator as needed.
- Professionally answer and route incoming phone calls; take accurate messages when necessary.
- Receive, process, and document physician orders; verify accuracy of all clinical paperwork.
- Prepare and maintain patient charts and produce memos, reports, and other documents.
- Track and order departmental supplies.
- Cook up coordination student observation rotations with the Recruiting Manager.
- Perform general clerical duties, including filing and photocopying, while maintaining strict patient confidentiality.
- Perform any other duties relating to the operations of the clinic that might be assigned by the Site Coordinator, Revenue Cycle Department or Patient Experience Coordinator.
Requirements
- High school diploma or general education degree (GED)
- At least 1 year of related experience or training is preferred
- Previous experience in a customer service or clerical role
- A high degree of professionalism in both written and verbal communication
- The ability to work both independently and in a team environment, without constant supervision
- The ability to effectively manage time and prioritize tasks
- The ability to demonstrate strong detail orientation with the ability to adapt to change
- The ability to demonstrate strong follow-up and follow-through skills
- The ability to maintain confidentiality
- Strong computer skills, including proficiency with databases and with Microsoft Office applications, including Outlook, Word, and Excel
Qualifications
