Patient Engagement Specialist, Clinical Research

About the role
You are a compassionate, relationship-driven professional who is passionate about connecting patients and families with innovative Alzheimer's disease clinical research opportunities. You excel at building relationships with physicians, senior-focused organizations, assisted living and memory care communities, and other referral partners throughout West Palm Beach and Port St. Lucie. You are an excellent communicator, highly organized, and driven to expand patient access to cutting-edge treatments while collaborating closely with clinical and operational teams.
This role focuses on developing strategic community partnerships, educating referral sources, recruiting qualified participants for Alzheimer's disease and other clinical research studies, and delivering exceptional patient and caregiver experience while supporting the continued growth of our clinical research program.
Responsibilities
- Build, develop, and maintain strong relationships with physicians, neurologists, psychiatrists, primary care providers, geriatric specialists, hospitals, medical practices, federally qualified health centers (FQHCs), senior centers, and community organizations to increase awareness of available clinical research opportunities.
- Identify, educate, recruit, and engage qualified participants for Alzheimer's disease and other clinical trials through physician referrals, community outreach, networking, educational presentations, marketing initiatives, patient databases, and approved recruitment strategies while consistently achieving enrollment goals.
- Represent Health Haven and Health Synergy Clinical Research at community events, health fairs, physician offices, Alzheimer's support groups, caregiver organizations, educational seminars, and networking events while promoting awareness of clinical research and the organization's mission.
- Partner closely with Principal Investigators, Clinical Research Coordinators, Marketing, Business Development, and Operations teams to develop recruitment strategies, improve patient conversion rates, and ensure a seamless participant experience from initial contact through enrollment.
- Establish trusted relationships with healthcare providers and referral sources by conducting routine office visits, providing educational materials, sharing study opportunities, and serving as a knowledgeable resource regarding ongoing Alzheimer's clinical trials.
- Develop partnerships with assisted living facilities, independent living communities, memory care centers, skilled nursing facilities, adult day programs, home health agencies, senior resource organizations, and other organizations serving older adult populations to educate residents, caregivers, and staff about clinical research opportunities.
- Serve as the primary point of contact for prospective participants and caregivers by responding to inquiries, educating families about available studies, answering questions with empathy and professionalism, and providing ongoing support throughout the recruitment and screening process.
- Conduct initial pre-screening conversations using approved eligibility guidelines, collect demographic and referral information, coordinate appointments with research staff, and facilitate efficient progression through the enrollment process.
- Analyze recruitment performance, identify opportunities to improve outreach efforts, recommend innovative recruitment strategies, strengthen community partnerships, and support organizational initiatives that enhance participant enrollment and retention.
- Maintain accurate documentation of outreach activities, referral relationships, recruitment metrics, pipeline activity, and participant communications within designated systems while regularly reporting progress toward recruitment goals.
- Ensure all recruitment activities comply with HIPAA, Good Clinical Practice (GCP), Institutional Review Board (IRB) requirements, sponsor expectations, organizational policies, and applicable federal and state regulations while maintaining patient confidentiality and ethical recruitment practices.
- Travel throughout Palm Beach County, Martin County, and St. Lucie County to cultivate referral relationships, attend networking events, conduct educational presentations, and maintain a visible presence within the healthcare and senior care communities.
- Perform other duties as assigned.
Requirements
- Bachelor's degree in Healthcare Administration, Marketing, Communications, Public Health, Business Administration, Psychology, or a related field preferred.
- Two or more years of experience in healthcare outreach, physician relations, patient recruitment, clinical research recruitment, business development, healthcare sales, or community engagement preferred.
- Experience recruiting participants for clinical research studies strongly preferred.
- Experience working with Alzheimer's disease, dementia, neurology, geriatrics, psychiatry, behavioral health, or older adult populations preferred.
- Demonstrated experience building relationships with physicians, healthcare providers, hospitals, medical practices, assisted living facilities, memory care communities, or senior-focused organizations.
- Strong understanding of patient-centered communication and relationship-building strategies.
- Excellent presentation, networking, public speaking, and interpersonal communication skills.
- Ability to educate patients, caregivers, and healthcare professionals with confidence, compassion, and professionalism.
- Strong organizational, time management, and follow-up skills with the ability to manage multiple recruitment initiatives simultaneously.
- Experience using CRM platforms, electronic medical records (EMR), clinical research management systems (CTMS), or similar databases preferred.
- Ability to work independently while collaborating effectively with multidisciplinary teams.
- Valid Florida driver's license, reliable transportation, and the ability to travel regularly throughout Stuart, Port St. Lucie, and surrounding communities.
- Knowledge of HIPAA regulations and patient confidentiality requirements.
- Knowledge of Good Clinical Practice (GCP), FDA regulations, and clinical research recruitment best practices is a plus.
