About the role
The Patient Coordinator I greets and establishes first contact with patients, or performs in a call center capacity. Responsibilities include confirming and updating patient demographics, verifying insurance, processing HIPAA-related paperwork, collecting co-pays, scheduling follow-up appointments, and performing related administrative tasks.
Responsibilities
- Greet patients in person or via telephone and update insurance and demographics in the practice management system.
- Verify that the physician accepts the patient’s insurance; confirm prior to or at the time of the visit.
- Communicate patient arrival to appropriate staff and ensure the medical record is available for the physician.
- Process and update HIPAA-related paperwork and other institutional forms as necessary.
- Collect or retrieve referrals or insurance authorizations as required.
- Monitor waiting room status and keep patients advised of wait times.
- Ensure patient has paid co-pay or collect co-pay under billing staff direction; provide receipt following cash-control processes.
- Schedule follow-up appointments as needed and provide guidelines for requesting medical records when necessary.
- Perform simple charge entry tasks, enter patient payments, and prepare cashier’s deposit. Note: duties are mutually exclusive and may not be performed by the same employee.
- In a call center capacity (Faculty Practice Associates): answer phones, schedule appointments, initiate reminder calls for next-day appointments, and comply with HIPAA and other governmental requirements for handling PHI.
- Perform other related duties as assigned.
Qualifications
- High school graduate or GED.
- One year of physician practice experience.
- Minimum of one week of on-site training provided by the practice.
- Preferred: experience in a medical office setting using a computer system for physician scheduling.
- IDX or other practice management system experience preferred.
