Pay
The base pay scale for this position is $26.65 - $40.87. The salary of the finalist selected will be determined based on scope of role, level of experience, education, accomplishments, internal equity, budget, and Fair Market Value evaluation. This position is also eligible for additional benefits consistent with the role.
Responsibilities
- Answers phones and greets patients courteously, clearly, and efficiently with a professional demeanor, empathy, discretion, and respect.
- Ensures timely internal/external communication via phone, email, or in-person regarding appointments, instructions, and follow-ups.
- Handles patient concerns calmly and escalates to administrative manager or clinical staff when necessary.
- Schedules appointments and ancillary services accurately, following provider protocols.
- Coordinates referral processes and surgical scheduling, including entering dates into Epic and ensuring pre-authorization within required timelines.
- Confirms all required pre-testing and documentation are complete and verified.
- Manages check-out processes, facilitating time-of-service payments, including copayments and outstanding balance collections.
- Obtains authorizations and follows up with appropriate teams through completion.
- Ensures all information is collected from patients to ensure timely billing.
- Uses appropriate written communication when documenting in patient charts and interacting with physicians and clinical teams.
- Accurately scans patient records per hospital guidelines.
- Prioritizes tasks and manages workload efficiently to meet patient needs and departmental goals.
- Takes initiative to resolve issues, assist colleagues, and adapt to workflow changes.
- Fulfills a lead role in the office when covering for the Office Manager during time off.
- Demonstrates accountability in job duties and proactively assists in training support staff.
Requirements
- High School Diploma or equivalent (G.E.D.), may include specialized or vocational courses.
- Minimum 2 years of experience as a Medical Secretary or in a healthcare/medical setting.
- Excellent verbal and written communication skills.
- Strong customer service orientation and ability to follow through with tasks to completion.
- Superior organizational and problem-solving skills.
- Ability to multitask in a fast-paced environment and work collaboratively as part of a team.
- Detail-oriented with the ability to escalate issues appropriately.
- Consistently displays a positive attitude toward work and work environment.
- Strong computer skills and knowledge of healthcare industry, including regulations and health insurance.
- Proficient in electronic medical records systems (e.g., Epic) and Microsoft Office software.
- Ability to operate phones, scanners, copiers, printers, and other front-desk technology efficiently.
Preferred Skills
- Experience with Epic preferred.
- Familiarity with medical terminology.
Physical Working Conditions
- Continuously stand/walk or lift/handle/carry material or equipment of moderate weight (20 to 50 lbs).
- Located in a comfortable indoor area.
- OSHA Category 3: Tasks involve no exposure to blood, body fluids, or tissues.
