Responsibilities

  • Welcome patients and visitors in a courteous, attentive manner while creating a positive front office experience.
  • Manage inbound and outbound phone communication, including follow-up outreach to schedule hearing evaluations, consultations, and return visits.
  • Cook up appointment calendars, send confirmations, and support efficient patient flow throughout the day.
  • Gather intake documentation, update patient records, and maintain organized files and visit notes with accuracy.
  • Review insurance coverage, complete benefit verification, and assist with authorization-related administrative tasks before visits.
  • Support front desk operations by checking patients in and out, responding to routine questions, and processing payments.
  • Aid in patient orders, confirm received items, document pickups in the system, and support accessory-related sales and service needs.
  • Handle basic clinic administrative tasks such as inventory tracking, supply ordering, daily reporting, bank deposit preparation, equipment upkeep, and general office organization.
  • Provide support for repair coordination under licensed supervision and assist with planning and logistics for community outreach activities.

Requirements

  • At least 2 years of experience in a front desk, patient coordination, receptionist, or similar administrative support role.
  • Demonstrated ability to manage a multi-line phone system and handle a high volume of inbound calls professionally.
  • Experience scheduling appointments and coordinating calendars in a healthcare or clinic environment.
  • Working knowledge of insurance verification processes, including medical benefit review and authorization support.
  • Strong customer service and concierge-style communication skills with a patient-centered approach.
  • Familiarity with basic medical terminology and the ability to communicate clearly with patients and clinical staff.
  • Solid organizational skills, attention to detail, and accuracy in maintaining records, payments, and office documentation.
