As our Patient Care Coordinator, you'll be the steady, caring presence patients count on at every step of their visit: the welcoming first face they see at check-in, and the reassuring guide who sends them off informed and confident in their next step toward wellness at checkout. What You'll Do Serve as the welcoming, professional first point of contact for all patients — in-person, by phone, and via email/textManage appointment scheduling, patient check-in and check-out, and daily office flowComplete patient checkout accurately and professionally at the conclusion of each visit, including scheduling follow-up and next appointmentsSupport our doctors with patient management and administrative coordinationHandle sales entry and financial transactions using QuickBooksMonitor and respond to emails and web-based inquiries from prospective and current patientsProcess product backorders and coordinate outgoing product shipmentsOpen and prepare the office each day following the established daily setup checklistMaintain a clean, organized, and welcoming office environmentCommunicate with patients with warmth, clarity, and professionalism from check-in through checkout A Day in This Role Looks Like... Every day, you help set the tone for the entire practice and for every patient's experience. Here's what a typical day in this role involves: Morning Opening Routine: Follow the daily opening checklist to prepare the office for a smooth dayCheck emails, print relevant ones, and prepare them for the doctor to review and respondCheck voicemail and the office cell phone for any patient texts — follow up promptlyConfirm all same-day pending appointments and reach out to any patients who may be running latePull and scan client folders, placing patient files in the doctor's box and ready for the dayPrint the doctor's schedule for the day and prepare tickets for the following day's appointments Throughout the Day: Answer phone calls and respond to web inquiries with professionalism and warmthGreet and assist all walk-in patients and patients arriving for checkout, ensuring they feel welcome and cared forCheck patients in and out, updating their arrived status in OneTouch (our practice management system)Confirm upcoming appointments, schedule next appointments, and manage the daily schedule flowCoordinate patient communication via phone, email, and textProcess backorders and coordinate product shipments as needed Requirements What We're Looking For The ideal candidate is upbeat, reliable, detail-oriented, and genuinely loves working with people. You thrive in a fast-paced environment and take pride in both the quality of your work and the experience you create for every patient who walks through our doors.
