About the Role

The Patient Care Coordinator (PCC-I) is an entry-level office role responsible for maintaining pleasant and consistent daily clinic operations. This position supports clinic growth through excellence in practice management and patient intake processes, working collaboratively with the Clinic Director.

Responsibilities

  • Greet everyone who enters the clinic in a friendly and welcoming manner.
  • Schedule new referrals received by fax or telephone from patients and physician offices.
  • Verify insurance coverage for patients and collect patient payments.
  • Maintain an orderly and organized front office workspace.
  • Convert referrals into evaluations and schedule patient visits.
  • Create an inviting clinic atmosphere and make welcome calls to patients.
  • Monitor and influence patient arrival rates to enhance customer experience.
  • Manage clinic schedule efficiently and handle document routing.
  • Manage personal overtime, non-clinical documentation, and deposits.
  • Monitor caseload, discharge candidates, progress notes, and insurance reporting.
  • Manage clinic inventory.
  • Attend required training with Territory Field Trainers for Raintree and other business process updates.
  • Complete quarterly compliance training.
  • Other duties as assigned.

Qualifications

  • High School Diploma or equivalent.
  • Strong communication skills; ability to relate well to leadership and team members.
  • Ability to multitask, meet deadlines, and work with little to no supervision.
  • Efficient time management and presentation skills.
  • Organizational detail and ability to work as part of a team.

Physical Requirements

  • Subject to inside environmental conditions with exposure to indoor noise and temperature variations.
  • Full-time position (minimum 40 hours per week) operating Monday through Friday during normal business hours; may require occasional evenings, weekends, or additional hours for special events.
  • Primarily sedentary work with frequent sitting; ability to alternate with standing as needed.
  • Constant communication with associates; must be able to hear and speak clearly to exchange information.
  • Frequent use of computers and office equipment (e.g., printers, phones, keyboards, mice, copy machines).
  • Constant repetitive motions for typing and viewing computer screens (near acuity).
  • Must comprehend information and use judgment to respond appropriately in various situations.
  • Occasional walking, standing, pushing, pulling, lifting (0-20 lbs. from floor to waist), and carrying (0-20 lbs.).
  • Rarely crawls, crouches, kneels, stoops, climbs stairs/ladders, reaches above shoulder height, or lifts under 10 lbs. from waist to shoulder.
