About the role

The Patient Care Coordinator arranges branch office services for patients and referrals, including order processing, coordinating product and service delivery, and patient education. The role also supports day-to-day branch operations such as inventory, records-keeping, office maintenance, and regulatory compliance.

Responsibilities

  • Coordinates services for patients and referrals, including order processing, equipment delivery, warranty repairs, replacements, and follow-up to ensure service excellence.
  • Prepares orders for timely and accurate billing.
  • Delivers customer service via phone, email, and face-to-face interactions.
  • Sets up and advises patients and caregivers on equipment, service options, care and maintenance, insurance coverage, payment options, and related information.
  • Supports branch operations such as inventory, records-keeping, reports, documentation, office maintenance, delivery coordination, and compliance with HIPAA, The Joint Commission, State Respiratory Care Board, State Pharmacy Board, and other regulations.
  • Performs other duties as assigned by the branch office manager.

Requirements

  • High School diploma or GED equivalent.
  • Preferred: Associate’s degree in a related field.
  • Preferred: Six months’ experience in healthcare, medical, insurance, or DME customer service.

Schedule

Full-time, Monday through Friday, 8:00 a.m. to 5:00 p.m.

Work Environment

This role operates primarily in a professional office environment but also spends time in a warehouse setting. Routine use of standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. May demonstrate home medical equipment to patients.

Physical Demands

The employee is typically required to sit, frequently stand, and occasionally climb, balance, stoop, kneel, crouch, or crawl. Must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 50 pounds. Requires close and distance vision, color and peripheral vision, depth perception, and ability to adjust focus.

Travel

Travel is not a daily requirement but may be needed for occasional local deliveries. Overnight travel may be required for continuing education and corporate meetings.
