Summary
The Patient Access Scheduler is responsible for scheduling and pre-registration of outpatient procedures and obtaining all required documents and pre-certification prior to appointment; obtains, verifies, and transcribes orders; obtains and verifies pre-certifications for scheduled outpatient procedures and surgeries, and obtaining demographic information and verification of insurance; obtains and verifies pre-certifications for outpatient scheduled procedures; obtains and verifies pre-certifications for scheduled surgeries and anesthesia cases, including endoscopy.
Responsibilities
- Schedules outpatient procedures following established guidelines and/or restrictions; ensures patients are well prepared for scheduled procedures; enters all scheduling information; learns all modalities of scheduling and follows established protocols for each modality; utilizes appropriate functions for documentation of notes as per established guidelines; provides excellent customer service; prepares patient for exam; provides appropriate pre-exam instructions in a manner the patient understands; demonstrates awareness of ramifications of contrast allergies and takes appropriate steps to prepare patients for studies with contrast according to protocol when they have these allergies
- Completes pre-registration and insurance verification prior to scheduled appointment date; enters all registration information; verifies insurance coverage and eligibility; documents notes; completes MSPQ if applicable; utilizes insurance websites for verification; follows established protocols for Self-pay process
- Verifies and obtains pre-certification and authorizations for outpatient scheduled procedures, scheduled surgeries, and anesthesia cases, including endoscopy services; understands prior authorization requirements and follows established protocols for obtaining and documenting prior authorizations; follows established protocols for Self-pay process; provides price estimates for high dollar outpatient procedures; obtains and verifies procedure orders and all other required documents prior to scheduled appointments
- Performs a full range of clerical functions in support of the department and organization; transcribes and imports orders and other required documents from Rightfax; retrieves and responds to phone messages as assigned; operates and assists others with office equipment in a safe and efficient manner: i.e., telephone, FAX, printer, scanner, and other related items
- Communicates clearly and effectively; follows established phone system guidelines as required by department; answers incoming phone queue calls in a timely manner to meet department goals; utilizes interpreter service as needed; provides excellent customer service and friendly voice to all customers
