Patient Access Representative

About the Role
Greets and registers all patients who present themselves for medical services. Obtains all necessary demographic and financial information to complete the registration process, ensuring legal and accurate billing and medical record input. Obtains appropriate authorizations and/or referrals, collects Point of Service payments, and accurately records transactions.
Responsibilities

- Works independently or with nursing and other personnel to serve patient needs, their families, and representatives.

- Works closely with the department during disaster team drills and enactments.
- Obtains and enters demographic and financial information to ensure accuracy of the patient’s Medical Record and secures required legal signatures.
- Enters information from physician orders into the appropriate patient’s Electronic Health Record (EHR).
- Schedules appointments from physician order entry when needed.
- Interviews patients and/or representatives to obtain demographic and financial information.
- Obtains proper consent for adults and minors, including necessary signatures for registration.
- Obtains and scans copies of driver’s licenses and insurance cards.
- Assists patients to appropriate departments and/or nursing units.
- Communicates face-to-face and by phone with patients and their representatives as needed.
- Obtains and verifies Workers Compensation information at the time of registration.
- Collects Point of Service payments and accurately records them, adhering to departmental policies.
- Verifies the balance of the Cash Drawer at the start and close of shifts in assigned Patient Access locations.
- Generates a trial balance when closing the Cash Drawer and prepares money for deposit, ensuring checks and balances are accurate.
- Ensures money is never left unattended and is secured in the Cash Drawer or safe at all times.
- Maintains a professional appearance, communication style, and knowledge base.

- Handles incoming phone calls, routes them appropriately, or takes detailed, legible messages when necessary.
- Maintains professional communications with all departments within the Lexington Medical Center community.
- Attends monthly department meetings; if unable to attend, reads and acknowledges meeting minutes via email.
- Performs additional activities as directed by management to meet patient needs and achieve departmental and organizational outcomes.
- Utilizes the Service Recovery Process to resolve complaints and documents unusual situations.
- Knows how to secure translators for patients or other parties requiring assistance.
- Ensures Hazardous Waste or Hazardous Waste Pharmaceuticals are discarded, stored, and managed in properly labeled, closed containers prior to offsite disposal.
- Completes initial RCRA training within 6 months of hire and annual RCRA training thereafter.
- Performs duties as assigned by authorized personnel within the required time frame.
Requirements
- High School diploma or equivalent.
- Must attend department-approved training sessions to maintain the position (minimum of 8 hours required).
- Experience with personal computers (PCs).
- Excellent oral and verbal communication skills.
- Ability to work well with people and handle potentially stressful situations.
