Patient Access Associate - Part Time, Evenings
NYU Langone Hospital—Suffolk is a 306-bed medical center providing care to residents of eastern Long Island. The facility includes the Knapp Cardiac Care Center, a modern ambulatory surgical pavilion with specialized services such as women's imaging, a sleep laboratory, and bariatric surgery. It operates a Provisional Level 2 Trauma Center, a Primary Stroke Center designated by the New York State Department of Health, and multiple outpatient sites including a wound care center, hemodialysis center, and various primary care and specialty offices.
About the role
We have an exciting opportunity for a Part-Time Patient Access Associate to join our team. This role operates on evenings (1:00 PM - 9:00 PM) on Monday, Wednesday, and Sunday. The associate serves as a liaison between patients and staff, representing the Emergency Department, Pre-Surgical Testing, Admitting, and other ancillary areas. Responsibilities include entering patient information into the computer system to facilitate processing and throughput, as well as performing various clerical duties and projects as assigned by management.
Responsibilities
- Interview patients to obtain necessary identification information and prepare required forms for treatment, billing, or record release authorization.
- Apply ID bands to patients following the two-identifier rule.
- Contact insurance companies for notification or information and educate patients about Advance Directives and Charity Care when necessary.
- Obtain correct demographic, guarantor, next of kin, and emergency contact information.
- Verify and enter current insurance coverage, ensuring correct Coordination of Benefits (COB) for payment.
- Scan all documents into the Electronic Document Imaging system.
- Complete Medicare Secondary Payer Questionnaire and enter necessary data, including the patient Medicare number.
- Interpret payor websites and explain hospital and regulatory forms to patients and families before obtaining signatures.
- Ensure all patient forms are signed, witnessed, dated, and timed appropriately; document reasons if signatures cannot be obtained and follow up as needed.
- Distribute registration forms to locations within ED, Peri-op, and Inpatient units.
- Attach ID bands to patients in accordance with Medical Center policy, verifying two identifiers before affixing.
- Offer patients a copy of the Patient Bill of Rights and review Advance Directives during registration; follow up to obtain Advance Directives if not present.
- Document when education cannot be provided due to patient condition and ensure follow-ups are completed.
- Collect copayments, deductibles, and hospital payments; enter payments into the EHR using the appropriate account number and issue receipts.
- Ensure all credit card receipts are signed by the cardholder and daily receipts are balanced by the end of the shift.
- Complete all transactions daily and prepare them for courier pickup.
- Answer telephones professionally, take clear messages, and relay them to the appropriate persons.
- Collaborate with clinical staff to facilitate patient care and payment.
- Attend and participate in at least 75% of departmental staff meetings annually.
- Demonstrate knowledge of yearly Performance Improvement projects and maintain a team-oriented work ethic.
- Be flexible to work additional shifts and in all areas of Patient Access as needed.
- Demonstrate knowledge of Patient Access Emergency Management processes, including location of the disaster box in ER Registration and actions to take without prompting.
- Provide excellent customer service by welcoming patients and families, directing them to appropriate locations, and ensuring a positive experience throughout their stay.
- Demonstrate proficiency in the EHR system and knowledge of downtime procedures in Patient Access areas, including the Emergency Department.
- Maintain neat and appropriate attire per departmental dress policy, display badge appropriately, and exhibit a positive attitude and respect for all coworkers and staff.
Requirements
- High school diploma or equivalency.
- Understanding of medical terminology.
- Prior customer service experience.
- Ability to learn quickly as technology and insurance requirements change.
- Basic computer and keyboarding skills.
- Ability to walk and stand in a fast-paced environment with frequent interruptions.
Pay
The salary range for this role is $25.15 - $25.15 hourly. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. This range does not include bonuses, incentive pay, differential pay, or other forms of compensation or benefits.
