Patient Access Associate - Full Time, Nights
NYU Langone Hospital—Suffolk is a 306-bed medical center providing care to residents of eastern Long Island. The facility includes the Knapp Cardiac Care Center, a modern ambulatory surgical pavilion with specialized services such as women's imaging, a sleep laboratory, and bariatric surgery. It operates a Provisional Level 2 Trauma Center, a Primary Stroke Center designated by the New York State Department of Health, and multiple outpatient sites including a wound care center, hemodialysis center, and various primary care and specialty offices.
About the role
We have an exciting opportunity for a Patient Access Associate to join our team on a full-time, night shift basis (12:00 AM - 8:00 AM, Monday - Friday). In this role, you will serve as a liaison between patients and staff, facilitating patient processing and throughput in the Emergency Department, Pre-Surgical Testing, Admitting, and other ancillary areas. You will interview patients to obtain necessary identification and insurance information, prepare required forms, apply ID bands, and perform various clerical duties. Additionally, you will assist with projects and other duties as assigned by management.
Responsibilities
- Obtain correct identification, demographic, guarantor, next of kin, and emergency contact information.
- Secure current insurance coverage and identification, ensuring accurate Coordination of Benefits (COB) entry for payment.
- Scan all documents into the Electronic Document Imaging system.
- Complete Medicare Secondary Payer Questionnaire when necessary, including entering the patient Medicare number.
- Interpret payor websites and explain hospital and regulatory forms to patients and families before obtaining signatures.
- Ensure all patient forms are signed, witnessed, dated, and timed appropriately; document reasons if signatures cannot be obtained and follow up as needed.
- Distribute registration forms to locations within the ED, Peri-op, and Inpatient units.
- Attach ID bands to patients following the two-identifier rule and medical center policies.
- Provide patients with a copy of the Patient Bill of Rights and review Advance Directives during registration; follow up to obtain Advance Directives if not present.
- Document instances where education on Advance Directives cannot be provided due to patient condition and follow up until signatures are obtained.
- Collect copayments, deductibles, and hospital payments; enter payments into the EHR using the appropriate account number and issue receipts.
- Ensure all credit card receipts are signed by the cardholder and daily receipts are balanced by the end of the shift.
- Complete all transactions daily and prepare them for courier pickup.
- Answer telephones professionally, take clear messages, and relay them to the appropriate personnel.
- Collaborate with clinical staff to facilitate patient care and payment processes.
- Attend and participate in at least 75% of departmental staff meetings annually and demonstrate knowledge of yearly Performance Improvement projects.
- Exhibit teamwork by assisting coworkers, working additional shifts as needed, and being flexible to work in all areas of Patient Access.
- Demonstrate knowledge of Patient Access Emergency Management processes, including the location of the disaster box in ER Registration and appropriate actions during downtime.
- Provide excellent customer service by welcoming patients and families, directing them to appropriate locations, and ensuring a positive experience throughout their stay.
- Maintain knowledge of the EHR system and downtime procedures in Patient Access areas, including re-entering patients into the system post-downtime.
- Maintain neat and appropriate attire per departmental dress policy, display badge appropriately, and exhibit a positive attitude and respect toward all staff.
Requirements
- High school diploma or equivalency.
- Understanding of medical terminology.
- Prior customer service experience.
- Ability to learn quickly as technology and insurance requirements change.
- Basic computer and keyboarding skills.
- Ability to walk and stand in a fast-paced environment with frequent interruptions.
Pay
The salary range for this role is $49,042.50 annually. Actual salaries depend on factors such as experience, specialty, education, and hospital need. This range does not include bonuses, incentive pay, differential pay, or other forms of compensation or benefits.
