Part-Time Receptionist
About the role
This part-time receptionist role provides a welcoming and professional presence at the front desk while delivering reliable administrative support across the office. The position is ideal for someone who enjoys being the central point of contact, is highly organized, and is comfortable using Microsoft Office and basic office equipment.
Schedule
Monday through Friday, 10:30 AM – 4:30 PM (approximately 30 hours per week).
Pay
$21/hour.
Location
Onsite in Englewood, CO.
Responsibilities
- Answer incoming phone calls, provide accurate information to callers, and route calls to the appropriate personnel in a timely and professional manner.
- Provide a consistent, positive, and friendly presence at the front desk, greeting visitors and directing them to the appropriate personnel.
- Manage visitor sign-in and sign-out procedures using Lobbyguard and ensure all guest records are accurately maintained.
- Prepare UPS shipments online, deliver packages to the designated shipping area, and maintain shipment receipts for recordkeeping.
- Prepare and meter outgoing mail, assemble outgoing mailers, receive incoming mail, and distribute mail throughout the corporate building.
- Inventory and order office supplies to ensure adequate stock, and maintain coffee stations and conference rooms with necessary supplies.
- Order employee nameplates and ensure they are prepared and delivered as needed.
- Keep the front reception area and conference rooms neat, orderly, and presentable at all times.
- Ensure proper coverage of the front reception area whenever it is necessary to leave the desk, coordinating with colleagues as needed.
- Maintain the office “Welcome Board” and update information as needed to reflect current visitors or announcements.
- Maintain and assist in scheduling calendars for conference rooms, ensuring accurate bookings and efficient use of meeting spaces.
- Assist office personnel with the operation of office equipment such as copiers and fax machines.
- Support Environmental, Health, and Safety (EHS) activities by helping with roster lists and other related administrative duties.
- Order lunches and coordinate catering arrangements as requested for meetings and events.
- Assist in maintaining the Human Resources section in SharePoint, ensuring documents and information are organized and up to date.
- Provide support for HR-hosted events as needed, including preparation, logistics, and general administrative assistance.
- Assist other departments with various projects and administrative tasks as time allows, demonstrating flexibility and teamwork.
- File and scan invoices as necessary to support accurate recordkeeping and accounting processes.
- Maintain checks and lockbox in an organized and secure manner, following established procedures.
Requirements
- High school diploma or equivalent.
- Receptionist or administrative experience in a front desk or office support role.
- Proficiency with Microsoft Office, including PowerPoint, Excel, and Word.
- Strong front desk and customer service skills with a professional and friendly demeanor.
- Accurate data entry skills and attention to detail for mail, invoices, and records.
- Ability to operate standard office equipment such as copiers and fax machines.
- Organizational skills to manage multiple tasks, calendars, and office supplies effectively.
- Clear verbal and written communication skills for interacting with callers, visitors, and internal staff.
Skills
- Basic accounting skills are preferred.
- Experience with visitor management systems such as Lobbyguard is beneficial.
- Familiarity with SharePoint or similar document management systems is an advantage.
- Comfort working with shipping platforms and handling UPS or other carrier shipments.
- Ability to support HR, EHS, and other departments with administrative tasks and special projects.

You will work at the front desk and in shared office areas such as conference rooms and common spaces, using standard office technologies including Microsoft Office, copiers, fax machines, shipping tools, and SharePoint.
