Part-Time Medical Front Office Receptionist

We are seeking an experienced, compassionate, and highly organized Front Office Medical Receptionist to join our busy podiatry practice. The ideal candidate is friendly, professional, and committed to providing outstanding customer service while ensuring the efficient daily operation of the front office. This position serves as the first point of contact for patients and visitors.

Responsibilities

  • Patient Reception & Customer Service
    • Welcome patients, visitors, and vendors in a professional and courteous manner.
    • Check patients in and out efficiently while maintaining a positive patient experience.
    • Verify patient demographics, insurance information, and contact details at every visit.
    • Assist new patients with registration forms and ensure all required documentation is complete and accurate.
    • Answer patient questions regarding office procedures, appointments, and billing when appropriate.
    • Maintain patient confidentiality in accordance with HIPAA regulations.
  • Appointment Scheduling
    • Schedule, reschedule, and confirm patient appointments using eClinicalWorks.
    • Coordinate provider schedules to maximize efficiency while minimizing patient wait times.
    • Contact patients regarding appointment reminders, cancellations, or scheduling changes.
    • Maintain an organized daily schedule and promptly communicate provider delays to waiting patients.
  • Insurance & Financial Responsibilities
    • Ensure referrals and authorizations are obtained as required by insurance carriers.
    • Collect co-pays, deductibles, outstanding balances, and self-pay fees.
    • Process payments accurately using the practice management system.
    • Balance daily receipts and maintain accurate financial records.
  • Electronic Medical Records (eClinicalWorks)
    • Utilize eClinicalWorks (eCW) to:
      • Register new patients.
      • Update patient demographics.
      • Schedule appointments.
      • Verify insurance information.
      • Document telephone encounters.
      • Scan and upload patient documents.
      • Manage patient messages and provider tasks.
      • Ensure patient records remain complete, accurate, and up to date.
  • Telephone & Communication
    • Answer incoming phone calls promptly and professionally.
    • Route calls and messages to the appropriate provider or department.
    • Return patient calls regarding scheduling, referrals, and general office inquiries.
    • Monitor and respond to office emails and electronic messages in a timely manner.
  • Administrative Responsibilities
    • Scan medical records and patient documents into the electronic health record.
    • Prepare charts for upcoming appointments when necessary.
    • Maintain office filing systems and ensure documentation is properly organized.
    • Assist providers and clinical staff with administrative tasks as needed.
  • Office Operations
    • Maintain a clean, organized, and welcoming reception area.
    • Monitor inventory of office and medical supplies and coordinate reordering when needed.
    • Ensure forms, educational materials, and office supplies remain stocked.
    • Follow office policies and procedures to maintain smooth daily operations.
  • Compliance & Professionalism
    • Maintain strict HIPAA compliance and patient confidentiality.
    • Follow OSHA safety guidelines and infection control procedures.
    • Demonstrate professionalism, dependability, and teamwork at all times.
    • Maintain punctuality and consistent attendance.

Requirements

  • High school diploma or GED required.
  • Experience with eClinicalWorks (eCW) is required.
  • Minimum of 1 year of medical front office or medical receptionist experience.
  • Knowledge of medical terminology.
  • Experience collecting patient co-pays and processing payments.
  • Strong computer skills and proficiency with Microsoft Office.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to multitask in a fast-paced environment.
  • Professional appearance and positive attitude.
  • Ability to work independently and as part of a team.

Preferred Qualifications

  • Previous experience in a podiatry, orthopedic, or specialty medical practice.
  • Bilingual (English/Spanish).

Physical Requirements

Pay

$16.00–$18.00 per hour (based on experience)
