About the role
As the face of VCA, the Client Service Representative sets the tone for the practice by building and maintaining each customer's trust and confidence in our abilities. This role is central to the hospital’s operations and involves a mix of customer service, administrative, and facility maintenance tasks.
Responsibilities
- Greet visitors, answer telephones, and guide clients and their pets to exam rooms.
- Schedule and confirm appointments.
- Place outbound calls for follow-ups and outreach to prospective clients.
- Present and explain fees, including processing payments.
- Recommend, select, and obtain products and services, including prescriptions.
- Answer questions about products and services, including educating clients on general animal husbandry and non-medical pet care (e.g., heartworm prevention, housebreaking, flea & tick control).
- Manage medical records, charts, reports, and correspondence.
- Maintain hospital cleanliness, including removal of animal waste, ensuring the facility is neat both inside and outside.
Requirements
- High school diploma or equivalent (required).
- Minimum of 1-2 years of experience in a client-facing role, preferably within veterinary, healthcare, or customer service environments.
- Experience with appointment scheduling, payment processing, and customer inquiries.
- Familiarity with veterinary terminology, medical records management, and prescription handling (preferred).
- Ability to manage multiple tasks efficiently in a fast-paced setting while maintaining professionalism and empathy.
- Basic computer proficiency (e.g., Microsoft Office).
- Proficiency with scheduling software and point-of-sale systems (preferred).
- Experience with veterinary practice management software (e.g., AVImark, Cornerstone) or similar platforms (preferred).
