Part Time Client Care and Appointment Specialist

About the role

This is not a traditional customer service position.

Your primary responsibility is to answer incoming calls, respond to inquiries, guide families through their options, and confidently schedule appointments. Every phone call is an opportunity to provide outstanding service while helping families choose the care that's right for their pet.

This position also involves working directly with families who have recently lost a beloved pet. You will be expected to meet grieving families with their deceased pets, either at one of our sanctuaries or in their homes, and at times you may also be responsible for respectfully transporting deceased pets from homes or veterinary clinics back to our sanctuary.

This is a very meaningful position that requires compassion, professionalism, emotional maturity, and the ability to remain calm and supportive during difficult moments. We provide training, but it's important that you feel comfortable with these responsibilities.

Responsibilities

• Answer inbound calls professionally and compassionately.
• Convert inquiries into booked appointments.
• Schedule aquamation, euthanasia, pickups, and memorial services.
• Follow up promptly with leads through phone, text, and email.
• Build rapport while confidently guiding clients toward a decision.
• Maintain detailed notes and appointment information.
• Clock in with doctors and team members to ensure a smooth client experience.

Requirements

• Loves talking to people.
• Naturally empathetic while remaining confident.
• Can stay calm under pressure.
• Highly organized and detail-oriented.
• Learns quickly and follows established processes.
• Excellent verbal and written communication skills.
• Comfortable using computers, email, texting, and scheduling software.
• Can multitask while maintaining professionalism.

Qualifications

• 1 year of phone sales experience
• Sales or inside sales.
• Appointment setting.
• Customer service.
• Veterinary, medical, funeral, or healthcare experience is a plus but not required.
• Call center experience is beneficial.

Pay

Competitive hourly wage + performance bonuses based on appointments booked and sales closed.

Schedule

Part-Time (20–30 hours per week, including some evenings and weekends)
