About the role

AE Clerical Support staff provides effective Adult Education (AE) program support and excellent customer service.

Responsibilities

  • Greets and assists individuals in a professional, pleasant, and timely manner.
  • Provides clerical support for program operations, answers and directs telephone calls to appropriate staff.
  • Retrieves, sorts, screens, and distributes mail and packages.
  • Enters student information into LACES.
  • Assists instructors and data manager with correspondence, duplication, material requests, LACES reports, and file management.
  • Assists in retrieving and contacting referrals from partnering agencies in the MAE system.
  • Assists with GED awards ceremonies.
  • Assists with EMCC inventory.
  • Assists with marketing of ABE services and recruiting and retaining participants.
  • Maintains filing, record-keeping systems, manuals, and other materials.
  • Adheres to local and state policies and procedures.
  • Maintains confidentiality of records; releases information according to program guidelines.
  • Checks EMCC e-mail, voice mail, and mail accounts daily and responds in a timely manner.
  • Supports office/classroom equipment—including filling copier with paper, changing toner cartridges, and emptying paper shredders.
  • Participates in EMCC and divisional staff meetings.
  • Participates yearly in a minimum of twenty hours of AE-approved professional development.
  • Performs other duties as assigned by supervisors.
  • Assists with participant intakes, TABE testing, and new student orientation.
  • Assists with ACT WorkKeys® testing.
  • Willingness to work a flexible schedule on occasions, including nights and weekends.
  • Effectively communicates with, cooperates with, and supports other college personnel in daily activities.
  • Assists with and fulfills other duties as assigned by the AE Director.

Requirements

  • High School diploma required; AA degree preferred.
  • Excellent computer, organizational, verbal, and written skills.
  • Working knowledge of computer databases and MS Office Suites, primarily Word and Excel.
  • Good written and oral communication skills.
  • Support the College mission implicitly and explicitly in the daily execution of all duties and responsibilities.
  • Actively participate in maintaining an effective and continuous recruiting program.
  • Participate in Institutional Effectiveness activities.
  • Represent the College in a professional manner as evidenced by dress, demeanor, and the discharge of daily responsibilities.
  • Fulfill other duties as assigned by the President and/or supervisor.
