About the Role

The PT Administrative Specialist III, under limited supervision, oversees administrative functions in a large or significant area. This role provides high-level clerical, analytical, administrative, and operational support, including coordination of support functions such as scheduling, process maintenance, communications, workflows, supplies, information processing, and staff support. The position requires awareness of Lone Star College's policies and procedures.

Responsibilities

  • Organizes and coordinates general office operations, including supervising, training, and coordinating the workload of clerical staff.
  • Ensures adequate office coverage, oversees efficient workflows, and maintains departmental schedules and calendars.
  • Assists staff with basic daily functions as needed.
  • Troubleshoots questions, inquiries, and complaints, directing them to the appropriate person.
  • Coordinates meetings and maintains scheduling of the office conference room for the campus.
  • Produces detailed reports and documents, including research, typing, coordinating, proofreading, printing, and compiling.
  • Coordinates maintenance of general office equipment with internal departments (OTS) and/or external vendors.
  • Assists with training and oversight of new employees within the assigned area.
  • Tracks and maintains inventory of supplies, manages purchasing processes, and prepares documentation following LSC purchasing guidelines.
  • Confirms receipt of all goods and services.
  • Assists with departmental budget preparation and maintenance, including tracking expenditures, completing budget analyses, and preparing expense projections, trend reports, and ad hoc reports.
  • Accurately enters and submits expense reports as needed.
  • Responds to routine correspondence or drafts responses for manager's review when a signature is required.
  • Plans and coordinates meetings, events, trainings, etc., including venue reservations, space assignments, handouts, and meal arrangements.
  • Performs other reasonable, related duties as assigned.

Requirements

  • High school diploma or GED and at least 1 year of related work experience, or an equivalent combination of experience and education.

Preferred: Associate's degree.

Physical Abilities

The work is sedentary. Typically, the employee sits comfortably to perform the work. There may be some walking, standing, bending, carrying light items (e.g., papers, books, or small parts), or driving an automobile. No special physical demands are required.

Work Environment

  • Work is performed in a climate-controlled office with minimal exposure to safety hazards.
  • Equipment used includes a PC workstation running on a LAN in a Microsoft Windows environment, calculator, phone, and other general office equipment.
  • Interface with internal and external contacts as needed to carry out the functions of the position.

Pay

Hourly pay rate is $15.92.
