Overnight Front Desk
Position Overview
The Overnight Front Desk is responsible for overseeing front desk operations during overnight hours while performing daily operational audits, preparing reports, monitoring building activity, and providing exceptional service to residents and guests.
Core Responsibilities
Provide professional overnight front desk coverage by welcoming late-arriving residents and guests, answering phones, responding to inquiries, coordinating visitor access, and maintaining a secure and welcoming environment.
Complete end-of-day operational audits, reconcile daily activity logs, prepare overnight reports, document incidents, and ensure all required records are accurate and ready for management review.
Deliver exceptional hospitality by assisting residents and guests with overnight requests while maintaining professionalism, confidentiality, and prompt follow-up.
Monitor building activity, surveillance systems, alarms, and access control systems, reporting unusual activity or operational concerns immediately.
Respond appropriately to emergencies, alarms, resident concerns, equipment failures, and security incidents while following established emergency procedures and notifying the appropriate personnel.
Manage overnight visitor access, vendor arrivals, deliveries, and emergency contractor entry while ensuring all property security procedures are followed.
Maintain accurate records for package deliveries, key control, resident access devices, and overnight transactions.
Prepare comprehensive shift reports detailing incidents, maintenance concerns, resident requests, and operational updates to ensure a smooth transition to the daytime management team.
Maintain accurate logs, resident communications, incident reports, visitor records, and operational documentation while ensuring compliance with company standards.
Communicate with Maintenance, Security, Concierge, Housekeeping, and Management regarding overnight issues requiring follow-up.
Maintain the cleanliness and professional appearance of the front desk, lobby, and reception areas throughout the overnight shift.
What You Bring
2+ years of experience in front desk operations, night audit, hospitality, residential services, hotel operations, or customer service.
Strong organizational and administrative skills.
Excellent written and verbal communication.
Ability to work independently with minimal supervision.
Strong attention to detail and accuracy.
Experience preparing reports and maintaining documentation.
Comfortable using Microsoft Office and property management software.
Excellent judgment and problem-solving skills.
Professional demeanor with outstanding customer service skills.
Flexible availability to work overnight shifts, weekends, holidays, and emergency situations.
Bilingual English/Spanish preferred.
Physical Requirements
Ability to remain seated or standing for extended periods.
Ability to walk the property periodically during overnight rounds.
Ability to lift up to 25 pounds when necessary.
Ability to respond quickly to emergencies and operational needs.
