About the role

The Outreach Specialist with the Nelson Institute for Environmental Studies will provide administrative support and event planning for the Center for Culture, History, and Environment (CHE), the Center for Ecology and the Environment (CEE), the Office of the Dean, and seasonal event assistance for the Advancement team. This position reports to the Administrative Assistant Director and is a member of both the Nelson Institute Business Services team and the Nelson Administrative Services team.

Responsibilities

  • Schedule and secure resources, and communicate logistics in support of outreach programs.
  • Lead the implementation of programs, policies, and procedures through oversight of day-to-day activities for program staff, student, and community volunteers.
  • Deliver outreach program content and materials to community members.
  • Research, develop, and facilitate outreach program content and materials.
  • Identify, promote, and maintain external partnerships to support outreach programs.
  • Develop and evaluate curriculum and programs, providing recommendations for improvement.
  • Assist with monitoring outreach program budget spending.
  • Provide program coordination, outreach, and event planning for CEE, including:
    • Planning and organizing recurring annual CEE events.
    • Coordinating and managing budgets and expenditures for CEE outreach activities.
    • Developing outreach and communications materials.
    • Providing support to student members of CEE.
    • Planning and facilitating meetings of the CEE Executive Committee, including scheduling and agenda development.
    • Providing related support to the CEE Director.
  • Provide administrative assistance to CHE related to logistics management, including:
    • Annual member elections and coordination of awards.
    • Monthly agenda development, catering orders, and working with speakers.
    • Meeting scheduling and managing applications and acceptance/renewal of affiliates.
    • Graduate certificate management.
    • Related support to the CHE Director.
    • Coordinating community activities and events.
    • Managing CHE social media accounts and promoting CHE events.
    • Managing cloud-based archives and files for CHE.
  • Provide administrative support to the Dean’s Office and seasonal events for the Advancement team.

Qualifications

  • Bachelor’s degree (required).
  • At least 1 year of office clerical work experience.
  • Event planning experience.
  • At least 1 year of customer service experience.

Preferred Qualifications

  • Familiarity with UW-Madison campus event spaces, policies, and procedures.
  • Experience with purchasing and expense reimbursement at a UW Institution.
  • Background or interest in ecology, environmental science, or related fields.

Pay

Minimum salary $50,000. Actual pay will be determined at time of hire based on experience and qualifications.
