Responsible for

  • Organizing the day-to-day functions of the Audiology and Outpatient program
  • Scheduling all outpatient services
  • Processing initial orders including scheduling and obtaining insurance pre-authorization
  • Verifying insurance information and payment options
  • Obtaining pre-authorization when needed
  • Preparing necessary paperwork and obtaining medical records
  • Scheduling and coordinating patient/appointment appointments
  • Maintaining patient files and records
  • Maintaining HIPAA compliance
  • Registering residents/patients on arrival
  • Communicating effectively with residents/patients
  • Enhancing professional growth and development
  • Maintaining a working knowledge of Medicare regulations
  • Communicating with other departments, physician offices, and long-term care units

Essential Duties And Responsibilities

  • Initial request for outpatient services intake including pre-registration and scheduling
  • Processes all initial orders including scheduling and obtaining insurance pre-authorization as needed
  • Reviews insurance information and verifies with patient including payment options
  • Verifies insurance coverage with third party payors
  • Prepares all necessary paperwork in advance, and obtains medical records
  • Schedules and coordinates patient appointments for long-term care residents and Outpatients
  • Adjusts schedules, as needed, to accommodate patient/resident requests and/or physician or staff schedules
  • Arranges transportation requests as needed for scheduled visits and for Masonicare community residents/patients who have referred medical appointments elsewhere
  • Maintains patient files and records on an ongoing basis
  • Maintains a working knowledge of Medicare regulations as it pertains to Outpatient Services
  • Works within established department policies, procedures, objectives, quality assessment and improvement programs, safety, environmental, and infection control

Minimum Qualifications

  • High School Graduate
  • 1-2 years office/medical experience
  • No certificates, licenses, or registrations required

Key Competencies

  • Proficiency in the use of Personal Computers, i.e. word, excel is preferred
  • Ability to prioritize and handle multiple tasks
  • Excellent verbal/written communication and interpersonal and team building skills
