About the Role

The Outpatient Care Coordinator Lead assists with scheduling tests and treatments, including coordinating multiple appointments across several departments, programs, and specialties. This role involves insurance verification, assisting with the pre-authorization process, and acting as a liaison between the pre-authorization team, physician offices, and patients. The Care Coordinator provides updates to patients and doctors on authorization statuses, as delays or denials could impact patient health or treatment options. Once pre-authorization is complete and appointments are scheduled, the Care Coordinator provides patients with an itinerary when possible. Additional duties include assisting with referrals, linking patients and families to resources, and performing other assigned tasks.

The Outpatient Care Coordinator Lead oversees the daily operations of the Outpatient Care Coordinating team, including training, supervision, and resource management. Responsibilities include maintaining and updating training manuals, monitoring quality in customer service, scheduling, and pre-registration, and working with staff to achieve departmental and organizational goals.

Gamma Knife Department (GK) Responsibilities

  • Attends Tumor Boards to identify physician-recommended GK treatment patients.
  • Ensures GK equipment and supplies are onsite and available for use.

Interventional Radiology Department Responsibilities

  • Provides daily support and education to the IR scheduling specialist team at the Red Hill location.
  • Floats to hospitals to support and cover Lead Clerks assisting the IR Nursing team.
  • Acts as a front-line scheduler to assist with incoming calls, authorizations, policy updates, auditing, managing daily reports, staff assignments, and schedules.
  • Serves as a liaison between Hoag Imaging Locations and points of contact for Benefactors, Clinics, and patient relations.

Requirements

  • High School diploma or equivalent.
  • Minimum of 5 years of hospital or outpatient acute healthcare experience.
  • Strong knowledge of hospital scheduling, registration, and insurance verification processes.
  • Interventional Radiology Only: 1 year of Imaging Scheduling Specialist Lead experience at Hoag.

Preferred Qualifications

  • Knowledge and understanding of patient benefits, plan coverage, and claim responsibility.
  • Gamma Knife: Designated EPIC Superuser preferred.
