About the Role
The Operations Trainee is responsible for learning all functional areas necessary to operate and manage a branch. These areas include purchasing, inventory, basic accounting and billing, office administrative duties, and general maintenance.
Responsibilities
- Assure a system is in place for staff to properly handle customer phone calls.
- Manage the receptionist’s schedule, ensuring proper back-up personnel is available.
- Arrange repairs and maintenance for fax and copier equipment.
- Maintain proper toner and paper supplies for fax and copier equipment.
- Implement a system for strategically installing fax machines and ensuring timely delivery of faxes to the correct person.
- Learn the customer invoicing process and oversee company adherence to these processes.
- Train and manage personnel on daily duties related to mailing customer invoices.
- Enforce the "Daily Management Review of Invoicing" policy.
- Review and maintain the invoice register daily, keeping it free of old items.
- Keep the "Branch Cash Account" free of invoices older than three days.
- Understand the payment process for non-material bills such as utilities and general supplies.
- Maintain an up-to-date file or log of all paid non-material bills for quick reference.
- Ensure the cash drawer is closed out and balanced daily.
- Maintain the general appearance of the office, store, and bathroom areas, including hiring and training a cleaning service.
- Oversee general repairs and maintenance of the office, store, and bathroom areas, including HVAC, plumbing, and electrical.
Requirements
- Associate’s Degree preferred.
- Minimum of 3 years of related work experience.
- Strong Microsoft Office skills.

Physical Requirements
- Must be able to remain in a stationary position in an office environment 70% of the time.
