About the role
The primary function of the Operations Trainee is to learn all functional areas necessary to operate and manage a given branch. These functional areas range from purchasing and inventory to basic accounting and billing, office administrative duties, and general maintenance.
Responsibilities
- Assure there is a system in place that all staff members understand and use to properly handle customer phone calls.
- Manage the receptionist’s schedule and ensure proper backup personnel is available when necessary.
- Arrange repairs and maintenance for all fax and copier equipment.
- Maintain proper toner and paper for fax and copier equipment.
- Develop and enforce a system for strategically installing fax machines and ensuring correct and timely fax delivery to the right person.
- Learn and oversee the customer invoicing process, ensuring company adherence to such processes.
- Train and manage appropriate personnel on the daily duties of mailing customer invoices.
- Enforce the CBSI policy of “Daily Management Review of Invoicing,” including reviewing the invoice register daily and keeping it up-to-date and free of old items.
- Maintain the “Branch Cash Account” free of any invoices older than three days.
- Understand the payment process for all non-material bills such as utilities and general supplies.
- Keep an up-to-date file or log of all paid non-material bills for quick reference.
- Close out and balance the cash drawer on a daily basis.
- Ensure the general appearance of the office, store, and bathroom areas is kept neat and clean, including hiring and training a cleaning service.
- Oversee general repairs and maintenance of the office, store, and bathroom areas, including HVAC, plumbing, and electrical.
Basic Qualifications
- Associates Degree preferred.
- Minimum of 3 years of related work experience.
- Strong Microsoft Office skills.

Physical Requirements
- Must be able to remain in a stationary position in an office environment 70% of the time.
- Occasionally move about inside the office to access files, office machinery, etc.
