About the role
The Prince George’s County Department of Public Works & Transportation (DPW&T) is seeking a qualified applicant for the position of Operations Support Coordinator (Administrative Aide 3A) in the Office of Highway Maintenance.
Responsibilities
- Prioritize work assignments in support of the Special Services Division and Rehab and Operations Divisions.
- Validate all county claims correspondence, 311 service requests and escalations, snow and ice control planning and coordination.
- Manage the distribution of incoming and outgoing mail and maintain mail and work-tracking logs.
- Aid in the sale of contract documents, project plans, and specifications, and process payments.
- Purchase and maintain office supplies and equipment inventories.
- Reconcile monthly credit card transactions and maintain related financial records.
- Prepare correspondence, memoranda, contract documents, task orders, work orders, change orders, easements, and other administrative documents.
- Record and distribute meeting minutes.
- Process payment requests, invoices, and purchasing documentation.
- Maintain, organize, and update division files and records.
- Assist with recruitment, onboarding, and training activities as needed.
- Greet visitors, respond to telephone inquiries, and direct calls to appropriate personnel.
- Cook up and schedule meetings, appointments, and calendars for division leadership and staff.
Qualifications
- Successful completion of probationary period of nine (9) months at the Administrative Aide II level, or one (1) year of advanced diverse and/or technical clerical experience involving public interaction, office management, and operational details.
- A degree from an accredited college or university in Business Administration or Secretarial Science.
- A valid driver's license.
Preferred Qualifications
- Experience analyzing operational and financial data to identify trends, monitor performance, and support decision-making.
- Excellent written and verbal communication skills, including preparing correspondence, reports, presentations, and meeting materials.
- Strong organizational and project coordination skills with the ability to manage multiple priorities and meet competing deadlines in a fast-paced environment.
- Demonstrated experience managing large volumes of data, maintaining databases, and producing accurate reports and dashboards.
- Knowledge of records management, document control, and business process improvement principles.
- Ability to exercise sound judgment, maintain confidentiality, and work independently with minimal supervision.
