Responsibilities

  • Schedule and coordinate meetings, appointments, and travel arrangements for executives.
  • Prepare and distribute executive and operations agendas and action items.
  • Notetake and draft documents for executive, operations, and other meetings.
  • Organize and maintain files, records, expenses, receipts, and confidential information.
  • Handle correspondence and support office management tasks.
  • Support hiring and onboarding processes, including interview scheduling and candidate tracking.
  • Maintain employee and contractor records and assist with drafting job descriptions.
  • Coordinate with international operations teams and support operational needs.
  • Track invoices, expenses, and receipts, and assist with vendor coordination.
  • Perform other related duties as assigned.

Qualifications

  • Bachelor’s degree in Business Administration, Operations, Communications, Human Resources, Finance, or a related field.
  • 1–3 years of experience in operations, office management, executive support, HR support, or administrative roles.
  • Exceptional organizational skills and attention to detail.
  • Ability to excel under pressure and manage multiple priorities.
  • Strong written and verbal communication skills.
  • Proficiency with Google Workspace (Docs, Sheets, Calendar) and Airtable.
  • Comfortable working with confidential information.
  • Ability to work independently and execute reliably.
