Responsibilities
- Schedule and coordinate meetings, appointments, and travel arrangements for executives.
- Prepare and distribute executive and operations agendas and action items.
- Notetake and draft documents for executive, operations, and other meetings.
- Organize and maintain files, records, expenses, receipts, and confidential information.
- Handle correspondence and support office management tasks.
- Support hiring and onboarding processes, including interview scheduling and candidate tracking.
- Maintain employee and contractor records and assist with drafting job descriptions.
- Coordinate with international operations teams and support operational needs.
- Track invoices, expenses, and receipts, and assist with vendor coordination.
- Perform other related duties as assigned.
Qualifications
- Bachelor’s degree in Business Administration, Operations, Communications, Human Resources, Finance, or a related field.
- 1–3 years of experience in operations, office management, executive support, HR support, or administrative roles.
- Exceptional organizational skills and attention to detail.
- Ability to excel under pressure and manage multiple priorities.
- Strong written and verbal communication skills.
- Proficiency with Google Workspace (Docs, Sheets, Calendar) and Airtable.
- Comfortable working with confidential information.
- Ability to work independently and execute reliably.
