Operations Manager VitalChart - Mon–Fri 8:00 AM – 5:00 PM

About the Role

The Operations Manager oversees records center, vault operations, and delivery service while driving continuous improvement through quality initiatives. The role ensures proper staffing, operational benchmarks, and fiscal responsibility.

Responsibilities

• Personnel Management: Hire, train, and supervise employees; enforce company policies; maintain proper staffing levels.
• Quality Tracking & Improvement: Collaborate with leadership to enhance the company’s quality program.
• Forecasting & Budget Control: Manage budgets, report financials, and implement corrective actions to maintain fiscal responsibility.
• Facilities & Equipment Maintenance: Ensure clean, efficient facilities; oversee vehicle/equipment upkeep; manage rack space and evaluate expansion needs.
• Inventory Control: Oversee daily records center/vault operations, audit paperwork, reconcile vault inventories, and conduct bay audits for critical accounts.
• Customer Service: Provide professional, courteous service in person and over the phone, addressing all customer needs.

Requirements

• Proven problem-solving skills and experience implementing quality concepts in a service industry.
• Detail-oriented with strong organizational abilities.
• Willingness to take ownership of daily operations, including shift coverage, emergencies, and physical work when required.
• Commitment to leadership in disaster recovery, serving both internal and external customers.
• Ability to work in extreme temperatures (heat in summer, cold in winter).
• Physical ability to stand, walk, climb, balance, stoop, kneel, crouch, and lift 10–50 lbs.
• Must be able to talk, hear, read, and identify numbers for accurate order processing.

Qualifications

• 3–5 years of supervisory experience (preferred).
• Valid driver’s license with a clean MVR and background check.
• High school diploma.
• Forklift certification.
• Must pass a drug screen.
