Operations Manager
Role and Responsibilities
Reporting directly to the Principal, the PSOE School Operations Manager will serve as a liaison between the school staff and the Navigation team. They will have overall operational responsibility for the school’s basic HR, purchases, facility maintenance, and other management with guidance from the Principal and the Chief Operating Officer. They will develop deep operational knowledge of site-based operations, business management, reporting requirements, and process-driven accountability.
Leadership: In addition to the Principal, the School Operations Manager will be prepared to be called on as a spokesperson for the school. Actively engage and energize site-based volunteers, board members, event committees, stakeholders, partnering organizations, and funders. Lead, coach, develop, and retain the school’s office management team. Ensure effective systems to track scaling progress, and regularly evaluate program components, so as to measure successes that can be effectively communicated to the principal.
Program planning and management: Oversee the planning, implementation and evaluation of the school's programs and services. Ensure that the programs and services offered by the school contribute to the network's mission and reflect the priorities of the board. Monitor the day-to-day delivery of the programs and services of the school to maintain or improve quality. Oversee the planning, implementation, execution and evaluation of special projects. Oversee the physical plant and ensure quality care of the facility.
Human resources planning and management: In cooperation with School and Navigation leadership, determine staffing requirements for site-based organizational management and program delivery. Establish a positive, healthy and safe work environment in accordance with all appropriate legislation and regulations. Work with the principal to ensure that all staff receive an orientation to the school and that appropriate ongoing/annual training is provided. Work with HR to process all new hires and schedule on-boarding and benefits meetings. Work with the principal to Implement a performance management process for all staff, which includes monitoring the performance of staff on an on-going basis including annual performance reviews. Coach and mentor staff as appropriate to improve performance.
Financial planning and management: Participate in fundraising activities as appropriate. Ensure that sound bookkeeping and accounting procedures are followed at the site level. Work with Navigation staff to administer the funds of the school according to the approved budget and monitor the monthly cash flow of the organization. Provide the principal with comprehensive, regular reports on the revenues and expenditure of the school. Work with Navigation staff to ensure that the organization complies with all financial legislation, including taxation and withholding payments.
Qualifications and Education Requirements
The School Operations Manager will be thoroughly committed to the PSOE mission. All candidates should have proven leadership, coaching, and relationship management experience. Concrete demonstrable experience and other qualifications include: Bachelor’s degree in Education or Business Management, with 3 years of management/leadership experience preferred. Unwavering commitment to quality programs and data-driven program evaluation. Excellence in organizational management with the ability to coach staff, manage, and develop high-performance teams, set and achieve strategic objectives, and manage a budget. Strong written and verbal communication skills; a persuasive and passionate communicator with excellent interpersonal and multidisciplinary project skills. Ability to work effectively in collaboration with diverse groups of people. Passion, idealism, integrity, grit, positive attitude, mission-driven, and self-directed. Annual training and/or professional development is required for all PSOE employees.

The School Operations Manager usually works in an office environment, but the mission of the organization may sometimes take them to non-standard workplaces. The School Operations Manager works a standard workweek, but additionally will work evenings, weekends, and any additional hours necessary to accommodate activities such as Board meetings and representing the organization at public events.
