OPERATIONS MANAGER
About the role
This role is for an experienced non-profit operations professional and an opportunity to take your skills to the next level while supporting a dynamic community organization entering its 18th year of growth.
Responsibilities
Oversee financial management of major operational partnerships
Lead monthly closing processes and for the Leadership Team and Finance Committee
Implement and maintain financial compliance systems and controls for day-to-day operations across departments
Monitor budgets, expenses, and forecasts to ensure alignment with organizational objectives
Support preparation of annual audits, assist in coordinating responses to auditor requests
Manage grant fund spend down and allocation; oversee preparation and submission of grant invoices, including health plan claims (CalAIM and Medi-Cal managed care plans), ensuring compliance with funder and regulatory requirements
Oversee the hiring and onboarding process in collaboration with the Director of Operations and hiring managers, including job postings, scheduling, documentation, and offer letters
Manage staff and contractor paperwork across the full employment lifecycle: onboarding, offboarding, benefits enrollment, and document maintenance
Ensure HR compliance by tracking certifications, required training, and annual policy acknowledgments
Supervise and mentor the Assistant Operations Manager, supporting their professional development and alignment with department priorities
Manage Americorps VISTA onboarding and reporting requirements
Develop and implement workflows to ensure compliance with funder and health plan requirements (CalAIM, Medi-Cal, etc.)
Identify opportunities to automate or streamline recurring processes in collaboration with the Director of Operations
Partner with staff across departments to ensure clear communication and adherence to compliance standards
Support the Director of Operations in organization-wide planning, policy updates, and process improvements
Manage and conduct culture interviews for all staff and the annual culture change committee process that promotes a positive, growth-oriented culture
Participate in staff learning days, committees, and support broader staff development
Attend weekly one-on-one and team meetings
Contribute to the overall culture and business growth using our Culture Standards Guide as a tool for self-reflection and an ongoing commitment to self-growth, the growth in others, and the growth of the company
Requirements
3–5 years of experience in business operations, including finance, HR, and compliance management. Preferred experience from a nonprofit.
Strong understanding of nonprofit financial systems, including budget management, grant invoicing, and funder compliance; experience with government or healthcare billing (e.g., CalAIM, Medi-Cal) is a plus but not required; we are willing to train the right candidate
Experience managing or supervising staff
Proficiency in Google Workspace, QuickBooks Online, Asana, Salesforce, HR/payroll platforms such as Gusto, & expense tracking platforms such as Brex
Excellent organizational and project management skills with strong attention to detail
Clear written and verbal communication skills, including the ability to translate complex compliance requirements for non-finance staff
Ability to balance strategic thinking with hands-on execution in a small, fast-moving team

Physical requirements
This position requires being on your feet 5% of the time, driving 5% of the time, working in a virtual office setting 80% of the time, and working in person 20% of the time. While in the field, frequent lifting, moving, or carrying supplies up to 15 pounds, including use of stairs, is required. General office duties include: computer work, filing, phone communication, copying. The ability to travel to 18 Reasons on-site meetings and educational workshops throughout the San Francisco Bay Area and surrounding counties, as needed, is required. Classification & Compensation
This is a full-time, salaried position. 18 Reasons has an equitable and transparent compensation policy; we do not negotiate salaries. To read more about our compensation philosophy, click here. The salary will be set by the number of years of experience the candidate has in a similar position (Manager level or above): $86,000.00 - $94,000.00
