Operations Coordinator
Job Purpose
Sustainable Solano is a small, but dynamic and impactful nonprofit. Our impact and capacity are growing, together with the complexity of our internal operations. This is an entry-level position for a graduate of a business or accounting program who would like to help support and grow our organizational capacity, and an opportunity to grow with the organization for the right candidate. Preference will be given to those with lived experience in the communities we serve.
Responsibilities
60% - financial operation: perform monthly invoicing, process weekly accounts payable, process cash receipts, support program managers with budgeting and fiscal reporting, documentation and record keeping, perform various reporting tasks and maintain organization’s profiles at reporting systems, monitor and report on financial performance against budget, prepare monthly and annual financial reports
15% - payroll: solicit timesheets, maintain accurate employee files and PTO records, generate bi-monthly payroll reporting
10% - contract management: track organization’s contracts with suppliers, vendors, instructors, agencies, nonprofits, and other external partners, ensure the contracts are properly documented, stored and maintained, keep the database of contractors, including their performance, safety clearing, licenses and insurances, work closely with program managers to ensure all contractors are in good standing according to current laws and regulations
10% - policies & procedures: keep track of all internal policies and procedures, maintain electronic files and hard copies of all current policies and procedures, work with the Executive Director on creating or updating policies and procedures
5% - other: monitor and maintain organizational trackers and milestones (KPIs), perform ad hoc functions and activities to support operations, research and propose best practices that foster operational excellence
Essential Requirements
College degree in finance, accounting, or related fields
Some experience in professional setting is highly desirable
Impeccable attention to detail, strong capacity to self-organize and self-motivate
Committed to continuous professional growth and development
Proficiency in Excel, knowledge of Quick Books desired
Patience, integrity and ability to manage priorities and workflow
Strong interpersonal skills
