Operations Coordinator
Support operational efficiency, effectiveness, customer satisfaction, and profitability by completing administrative processes for the branch(es). Provide superior customer service and communication to internal and external customers, and assist the branch financial manager with guidance and information that contributes to branch performance and profitability.
Responsibilities
- Financial Operations
- Oversee accounts receivable process and maintain local collection contacts to support centralized function.
- Monitor weekly and monthly lease, contract maintenance, and special billing; resolve issues in a timely fashion.
- Establish and control processes to support customer service and branch profitability.
- Fleet Operations
- Complete fleet service activities such as licensing, permitting, in/out service vehicles, research and process citations.
- Track and coordinate asset outside services (unit jacket file, wash sheets, fueling, and other vendor support not related to maintenance).
- Partner with Fleet Services to establish collaborative relationships for licensing, permitting, citations, and other fleet operations.
- Process Analytics
- Perform process analyses and reviews in billing, 1211 reports, credit memos, citations, accounts receivable, licensing, and other areas.
- Investigate and recommend solutions to issues posing risks to profitability.
- Use systems or reports such as Qlikview or AS400 to understand operational dynamics for problem-solving and process improvement.
- Other Responsibilities
- Maintain district personnel files, JJ Keller reports, complete weekly payroll, and process paperwork for new hires.
- Handle projects and tasks assigned by the Branch Financial Manager and District Financial Manager.
Requirements
- High school diploma or equivalent required; degree preferred.
- Interpersonal and relationship-building skills with an ability to collaborate with branch team members.
- Competent written and verbal communication skills.
- 2+ years of experience in customer service or financial administrative roles.
- Agile and quick learner; enjoys collaborative projects and continuous education.
- Advanced computer skills including Microsoft Word, Excel, Outlook, and PowerPoint.
- Regular, predictable, full attendance is an essential function of the job.
- Willingness to travel as necessary, work the required schedule, and work at the specified location.
- Must complete Penske employment application, submit to a background investigation (including past employment, education, and criminal history), and drug screening.
Physical Requirements
- Read, communicate verbally and in writing, remember and analyze information, and understand instructions or guidelines.
- Stand, walk, and sit; frequently use hands to touch, handle, and feel, and reach with hands and arms.
- Occasionally lift and/or move up to 25 lbs/12 kg.
- Specific vision abilities required: close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.

Pay
$25/hr. or $52,000/yr.
Schedule
Generally, day shift, Monday - Friday. Schedule may change according to business needs.
