About the role
Pact is hiring an Operations Coordinator to connect wholesale orders, warehouse execution, and vendor catalogs. Key responsibilities include monitoring problem orders, ensuring proper receiving, automating data entry, managing item setup, and providing cross-functional support.
Responsibilities
- Monitor problem orders and shipment delays across warehouses; investigate root cause and drive to resolution
- Ensure inbound POs are set up for proper receiving — ASNs, packing lists, and carton labeling are accurate and in place before goods arrive
- Track PO status end-to-end and escalate timeline risks to warehouse and vendor contacts
- Identify and automate manual data entry workflows — order entry, project timelines, status updates
- Maintain clean, accurate records in NetSuite across orders, items, and vendor data
- Use Claude and other tools to streamline repetitive reporting and data reconciliation tasks
- Own SOP documentation for processes as they get automated, so they survive beyond the person who built them
- Submit new item setup forms accurately across retail and marketplace partners
- Manage and maintain product catalogs across multiple vendor portals
- Own UPC/GTIN accuracy and resolve data discrepancies before they cause receiving or listing issues
- Partner with warehouse, vendor, and customer experience teams to keep shipments and setups on track
- Provide backup coverage on core sales ops tasks during peak periods
Requirements
- 1-3 years of experience in operations, order management, supply chain, or a related field
- Proficiency in Excel — comfortable with pivot tables, VLOOKUP/XLOOKUP, and multi-tab workbooks
- Experience with NetSuite or a similar ERP strongly preferred
- Exposure to AI tools like Claude a plus — willingness to learn is required
- Detail-oriented with low tolerance for data errors; you catch problems before they escalate
- Clear communicator, comfortable coordinating across warehouse, vendor, and internal teams
- Ability to manage multiple priorities and deadlines in a fast-paced environment
Qualifications
- Familiarity with EDI workflows or vendor compliance/routing guides
- Experience with retailer or marketplace portals (Amazon Vendor Central, Zappos, etc.)
- Background in apparel, CPG, or consumer goods
- Ability to travel
