Position Summary
NeighborHealth is seeking an experienced individual to serve as Operations Coordinator in the Dental department. Under the supervision of the Administrative Director, the Operations Coordinator will perform a variety of administrative and practice management functions that support the daily operations of the Dental department.
Responsibilities
- Manage the providers schedule templates in Epic, which includes opening/closing, and editing individual provider schedules
- Ensure timely checking-in and checking-out of all patients
- Manages the department’s outgoing and incoming referrals as instructed by providers, this includes scheduling appointments, submitting supporting documents, and patient outreach, as well as work queue management
- Maintains the department’s referral report, submits prior authorization requests
- Participates in the tracking of high-risk patients
- Aids in patient flow and waiting room management
- Coordinates the department recall/waiting list
- Performs a wide range of clerical and administrative duties to support the department’s daily operations. Tasks include but are not limited to: copying, filing, faxing, correspondence, and responding to record and imaging requests from external providers
- Coordinates and supports tasks associated with department’s performance improvement projects and compliance with regulatory requirements
- Supports onboarding of Boston University Dental Residents, as needed
- Handles all incoming calls that Patient Access Coordinators (PACs) cannot address and support front desk duties such as scheduling and phone handling when needed
- Verifies dental plans, benefits and coverage specific to patients’ treatment plan through various dental portals (DentaQuest, Delta Dental, etc.)
- Advises patients about out-of-pocket expenses and payment plan options
- Coordinates care for patients who need prior authorization for treatment plan
- Answer patient questions related to insurance, claims, and billing
- Create patient estimate plans, as needed
Qualifications
- High School Diploma or G.E.D.
- Prior work experience in a health care setting (call handling, scheduling, customer service) preferably in a dental clinic
- Preferred: Bilingual skills
- Working knowledge of insurance verification processes
- Strong interpersonal and communication skills, with the ability to build rapport across diverse teams
- Demonstrated ability to work cooperatively in a patient/customer centered, fast paced environment
- Exceptional problem-solving and conflict-resolution abilities
- Ability to handle sensitive and confidential matters with professionalism and discretion
- Proficiency in Microsoft Office Suite
