Responsibilities

  • Support cross-functional operations initiatives, track projects, and drive process improvements through collaboration, benchmarking, and best practices.
  • Cook up operational coordination and project support, including assisting with planning meetings, executing operational projects and events, maintaining accurate documentation and reporting.
  • Be a subject matter expert in digital document processing, printing, and mailroom operations, ensuring timely and accurate delivery of services.
  • Partner with internal teams and property management to manage building-related requests and resolve facility issues efficiently.
  • Aid in campus safety initiatives, including Emergency Response (MIR3), CPR AED trainings, and building safety drills.
  • Provide a high-touch service experience by supporting employees, clients, and visitors; manage inquiries via phone, email, and in-person interactions.
  • Arrange services such as catering and external vendor support to meet operational and event needs.
  • Deliver operational reports and stay current on industry trends in facilities, services, and workplace operations.

Requirements

  • Education: Bachelor’s degree preferred or equivalent hands-on experience in operations or facilities management.
  • Experience: 5+ years of experience in operations, facilities, or workplace services, ideally within a fast-paced or professional services environment.
  • Technical Proficiency: Strong working knowledge of Microsoft Office Suite (PowerPoint, Excel, Word, OneNote, SharePoint), Microsoft Windows, and web-based applications.
  • Operational Expertise: Experience with mailroom, print/digital production, and general office services, with the ability to troubleshoot and manage complex workflows.
  • Communication & Relationship Building: Excellent written and verbal communication skills with the ability to collaborate effectively across teams and levels.
  • Organization & Multitasking: Proven ability to manage multiple priorities, meet tight deadlines, and maintain attention to detail in a fast-paced environment.
  • Customer Focus: Strong service mindset with a commitment to delivering high-quality support and solutions.
  • Professionalism & Initiative: A proactive, self-starting approach with sound judgment, discretion, and the ability to work independently and as part of a team.

Qualifications
