Operations Coordinator

Responsibilities

  • Serve as the primary daytime contact for US customers, vendors, and partners.
  • Communicate with airlines, trucking companies, customs brokers, warehouses, and service providers.
  • Collect, organize, and maintain accurate shipment and project information.
  • Enter and maintain data in internal systems, spreadsheets, and project tracking tools.
  • Cookpord pickups, deliveries, and operational schedules.
  • Prepare quotations and operational documentation.
  • Monitor project progress and proactively follow up on outstanding actions.
  • Respond professionally to customer emails and phone calls.
  • Work closely with our European operations team to ensure smooth communication across time zones.
  • Support Project Managers with daily operational and administrative tasks.
  • Maintain a high level of accuracy and attention to detail in all documentation.
  • Identify opportunities to improve internal processes and organization.

Requirements

  • Excellent written and verbal communication skills.
  • Strong organizational skills and exceptional attention to detail.
  • Comfortable using Microsoft Office, Google Workspace, and Excel.
  • Able to manage multiple tasks and priorities simultaneously.
  • Professional, friendly, and customer-focused attitude.
  • Comfortable communicating by phone and email.
  • Self-motivated, reliable, and eager to learn.
  • Ability to work independently while collaborating with a global team.
  • Interest in logistics, events, entertainment, or project coordination is a plus.
  • Previous experience in administration, customer service, project coordination, or operations is preferred but not required.
  • Bachelor's degree is appreciated but not required.

Prerequisite Knowledge, Skills, and Abilities

  • Ability to work effectively in high-pressure situations.
  • Ability to perform the essential functions of the position with or without reasonable accommodation, including adequate vision and hearing.
  • Excellent interpersonal and communication skills.
  • Ability to communicate clearly and effectively in English, both verbally and in writing.
  • Ability to occasionally lift up to 25 pounds to move equipment on and off shelves.
  • Ability to sit, stand and walk for extended periods.
  • Proficiency in the use of computers and standard office equipment.
  • Ability to perform tasks requiring manual dexterity using both hands.
  • Ability to travel domestically and/or internationally based on business needs.
