Constellation is an independent research center that facilitates cooperation among AI safety researchers from various sectors including nonprofits, academia, industry, and government. It operates continuously, combining a physical workspace with virtual conferences, workshops, and training sessions. This continuous operation fosters long-term relationships and meaningful collaboration among participants.
Based in Berkeley, CA, Constellation hosts over 200 people weekly across multiple AI safety organizations. Additionally, hundreds of researchers visit annually for shorter stays. Constellation is considered one of the strongest networks of AI safety researchers globally, with many participants going on to safety-focused roles at prominent companies.
About The Role
The Operations Coordinator role focuses on providing administrative and customer support to staff and researchers hosted in the shared workspace. This position reports to a member of the Shared Services team. The ideal candidate should have excellent interpersonal skills, be detail-oriented, and be excited to support AI safety research in a dynamic and collaborative environment.
- Administrative Support:
- Reserving offices and meeting rooms
- Booking travel and lodging for visitors and guests
- Maintaining accurate records in our systems
- Updating headcount estimates
- Customer Support:
- Welcoming visitors when they arrive
- Registering them in our systems
- Giving orientation tours
- Managing inbound support requests
- Solving the ones you can
- Escalating tickets requiring input from other team members
- Site Support:
- Troubleshooting and fixing issues around the office
- Ordering food, drinks, and office supplies
- Updating and posting signage
- Event Support:
- Staffing workshops and happy hours
- Helping with event setup and takedown
- Identifying and responding to issues
- Team Support:
- Supporting other programs and projects as needed
This is an in-person, full-time position. Workdays are from 8:30am-5:00pm on weekdays, with occasional work on evenings and weekends for special events or urgent issues.
Skills & Experience
- Experience coordinating administrative tasks for a team
- Ability to be friendly, professional, and engaging with a wide range of people
- Clear, concise written communication
- Strong attention to detail
- High level of proficiency with Google Docs & Sheets
- Comfortable learning new web applications and technologies
- Experience managing customer support issues or user requests (preferred, not required)
- Experience maintaining a physical workspace (preferred, not required)
- Experience planning in-person events for groups (preferred, not required)
- Experience using Slack, Asana, and CRM tools (preferred, not required)

Compensation & Benefits
- Base pay range: $70,000 – $90,000 per year

Additional Information
This is a full-time, on-site role. Our Berkeley office is near the nearest BART (metro) and bus stop. On-site parking is also available.
