About the role

The operations Coordinator supports daily operations, collections, and project activities while providing high-visibility support to Sr. leadership. This newly created role plays a key part in ensuring projects, accounts, and internal workflows run smoothly, while helping the organization grow and strengthen client relationships.

Responsibilities

  • Support collections activities by tracking receivables, monitoring outstanding balances, and maintaining accurate accounts receivable records.
  • Follow up with clients regarding payments in a professional and timely manner to support effective collections efforts.
  • Collaborate closely with sales and operations teams to ensure projects and accounts progress smoothly from initiation through completion.
  • Identify opportunities to expand client relationships by upselling services to current, former, and prospective customers.
  • Assist with operational coordination across ongoing roofing projects, including organizing tasks, monitoring progress, and aligning internal workflows.
  • Provide comprehensive administrative support to leadership, including scheduling meetings, preparing reports, and managing documentation.
  • Aid in coordinating project updates, timelines, and communications across internal stakeholders to ensure alignment and transparency.
  • Identify and resolve day-to-day issues through effective problem-solving, clear communication, and timely follow-through.
  • Assist the President and Vice President with expediting paperwork for various jobs and customers as needed.
  • Catalog and organize warranties, both new and existing, to ensure easy access, tracking, and reference for internal teams.
  • Provide general administrative, project, and service support related to collections, data entry, accounts receivable, and finance activities.

Essential Skills

  • At least 2 years of experience supporting collections, operations, and/or project-related functions.
  • Demonstrated experience with accounts receivable and collections processes.
  • Strong organizational skills with the ability to manage multiple priorities and tasks simultaneously.
  • Clear, professional communication skills, both written and verbal.
  • Proactive, self-starter mindset with the ability to work independently and take initiative.
  • Comfort working in a fast-paced environment with changing priorities.
  • Experience in the construction industry is preferred, particularly in operational or project support roles.
  • Proficiency in administrative support functions, including scheduling, reporting, documentation management, and data entry.

Additional Skills & Qualifications

  • Experience supporting sales, operations, and finance teams in a coordinated capacity.
  • Experience in project coordination, including managing timelines, updates, and stakeholder communication.
  • Familiarity with service-oriented environments where client relationships and follow-up are critical.
  • Experience identifying upsell opportunities and contributing to revenue growth through expanded client services.
  • Experience organizing and cataloging documents such as warranties and job-related paperwork.
  • Comfort working closely with senior leadership and providing high-level administrative support.

Work Environment

This position is fully in-office, with standard hours of 8:00 a.m. to 5:00 p.m. The role operates in a fast-paced environment that supports construction and roofing projects, requiring frequent coordination across operations, sales, and leadership. The position backfills a long-tenured role previously held by an employee who completed 20 years, offering the opportunity to step into a stable and established function within a growing organization. The company is experiencing significant growth, with ambitious plans to expand overall revenue and increase the output of the local operation, creating a dynamic and growth-oriented workplace.

This is a Contract to Hire position based out of Yonkers, NY.

Pay And Benefits

The pay range for this position is $25.00 - $29.00/hr.
