About the role
Operations Coordinator is responsible for coordinating and expediting the flow of work and materials within or between departments according to the production schedule. Responsibilities range from people, to data entry, to purchasing. The role includes creating and maintaining all purchase order requisitions in accordance with approved procedures.
Responsibilities
- Assists Plant Manager and Operations Manager in planning and scheduling.
- Creates a schedule to establish sequence and lead time of each department to meet shipping dates according to customer orders.
- Creates and distributes production schedules or work orders to departments.
- Enters data into EPICOR regarding purchasing and production planning.
- Prepares and communicates production reports on progress of work, inventory levels, costs, and production problems.
- Coordinates all projects through the manufacturing process to meet required ship dates.
- Serves as a communication link between the office and floor.
- Handles clerical duties such as greeting visitors and callers, typing correspondence, making copies, sorting mail, and maintaining office equipment and supplies.
- Processes and updates records in a computer system based on business operations, including customer service, distribution, inventory movement, and requisitioning.
- Maintains the entire office filing system by organizing and labeling documents pertaining to vendors, customers, shipping, and inventory.
- Confers with department supervisors or other personnel to assess progress of completion and discuss needed changes.
- Requisitions and maintains inventories of materials or supplies necessary to meet production demands.
- Researches new alternative suppliers, including creating NDA and RFQ documents and conducting quotation analysis.
- Evaluates supplier performance and on-time delivery; facilitates corrective action.
- Confers with establishment personnel, vendors, or customers to resolve complaints or eliminate delays.
- Assists Human Resources in maintaining workforce by communicating with operations and temp agencies to fill positions.
- Handles onboarding, training, and timekeeping of temporary workforce.
- Plans and implements company safety policies and programs.
- Advises and leads employees on various safety-related topics.
- Prepares educational seminars and webinars on safety.
- Reviews existing policies and procedures and adheres to all rules and regulations.
- Works with HR to set up new employee onboarding processes for safety.
- Conducts risk assessments.
- Enforces preventative measures.
- Identifies process bottlenecks and offers timely solutions.
- Prepares and presents reports on accidents, violations, and their causes.
- Oversees workplace repair, installations, and any other work that could harm employees' safety.
Requirements
- High school diploma or equivalent.
- 1+ years of experience in production planning.
- 2+ years of experience and knowledge of administrative functionality.
- Proficiency in all Microsoft Office applications.
- Minimum of 3 years of experience with sourcing and purchasing functions such as negotiating, communication, project management, business analysis, supplier strategy, and demand and product planning.
- Knowledge of materials requirements planning, BOMs, and routings.
- Knowledge of inventory control, product scheduling, and distribution functions.
- Self-motivated and able to work independently with little direct supervision.
Skills
- Ability to analyze problems and make independent judgments to initiate corrective action or resolution.
- Demonstrates diplomacy in day-to-day interactions with a commitment to tasks and awareness of urgency.
- Ability to utilize various personal office software within a LAN environment, including spreadsheet, word-processing, and database software.
Physical Requirements & Work Environment
- Sitting at workstation approximately 85 percent of work time.
- Standing and walking approximately 15 percent of work time.
- Ability to work overtime or occasionally on weekends with short notice.
- Typical office environment with shelves overhead and above work surfaces.
