Operations Coordinator
About the role
As the Operations Coordinator, you will handle the day-to-day administration of the office and ensure the smooth execution of work within the assigned geographic area.
Responsibilities
- Direct the day-to-day general office duties and administrative activity.
- Prepare quotations for clients, including ABS offices.
- Coordinate scheduling and staffing of projects.
- Check reports for sub-contractors to issue to clients and ensure inspection reports are received on time and forwarded to all concerned.
- Follow up with staff and clients to ensure work is completed on schedule and to the clients' satisfaction.
- Resolve work-related client issues, including scope of work, quality of work, and billing.
- Prepare monthly cash flow and monthly revenue margin.
- Perform other duties as assigned or required.
Requirements
- Minimum of a high school diploma or equivalent.
- At least two (2) years of relative work experience in a clerical or technical support position or a combination of substantial experience and education.
Skills
- Advanced Excel skills with the ability to analyze data, identify insights, and support business needs effectively.
- Highly motivated, quick learner with strong written and verbal communication skills and a proactive, hands-on approach to problem-solving.
- Strong human relations skills to maintain positive client contacts and provide leadership and motivation to staff members and peers.
- Ability to undertake short- and long-term planning for efficient and effective scheduling of work assignments.
- Responsive to customer queries.
- Advanced skills in the use of modern office equipment and office automation software (e.g., spreadsheets, word processing, presentation, mail/calendar/scheduler programs).
- Ability to learn additional programs as required.
- Advanced level clerical skills and excellent arithmetic skills.
- Ability to prioritize and handle routine and non-routine business matters simultaneously without supervision.
- Obtain a working knowledge of the ABS Health, Safety, Quality, and Environmental Management Systems.
Reporting Relationships
The role reports directly to a member of management and has no direct reports.
Working Conditions
Work is primarily sedentary, exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.
