Our Founder/CEO is also an entrepreneur actively building multiple businesses, including a growing intellectual property mediation practice, a legal co-working business, and several technology, marketing, and operational initiatives. About the Role
This role combines executive support, business development, operations, marketing coordination, and process improvement, with responsibilities spanning client intake, sales pipeline management, social media, KPI reporting, billing, and special projects. The ideal candidate is highly organized, technology-forward, and thrives on creating systems, solving problems, and identifying opportunities to improve how businesses operate. This is an opportunity for someone with 3–7 years of professional experience looking to grow beyond a traditional administrative role and build a long-term career in business operations and leadership.
Most administrative jobs involve maintaining existing systems. This role is about growing better ones. You'll work directly with the leadership team to help improve operations, launch initiatives, solve problems, streamline processes, and help multiple businesses operate more effectively. No two weeks look exactly alike.
The position is designed for someone ready to accelerate their career. Your long-term mission is to create leverage by identifying opportunities for improvement, implementing creative solutions, documenting processes, improving workflows, and seeking opportunities for businesses to scale. As you demonstrate ownership and produce results, your responsibilities will continue to grow.
Responsibilities
- Lead screening, sales pipeline management, and assisting with client intake
- Executive scheduling and priority management
- Relationship management and business development follow-up
- Create and schedule LinkedIn and other social media content
- Assist with mediation practice development and scheduling
- Client billing, Clio payments, light QuickBooks Online bookkeeping
- Manage accounts payable through Bill.com
- Prepare weekly KPI and scoreboard reports
- Coordinate special projects across the law firm, Engage Workspace, and mediation practice
- Improve workflows, document SOPs, implement AI and automation
- Provide assistance with administrative operations and train team members on systems you create

Up to $50,000 annual salary (based on experience)
