Position Summary
The Operations Assistant manages the office of the Assistant Superintendent of Organizational Learning and supports the coordination of organization-wide logistics and related communications for various strategic initiatives.
Key Functions
- Manages the office of the Assistant Superintendent of Organizational Learning, including calendar and correspondence
- Captures logistics and communications for strategic initiatives
- Processes requisitions and coordinates meeting agendas and logistics through Munis
- Performs research and analysis to support decision-making
- Develops materials, reports, and presentations for internal and external audiences
- Supports projects and initiatives for the Assistant Superintendent of Organizational Learning
Education
- Minimum Qualifications: Bachelor’s degree in the liberal arts, business administration, or related field, or equivalent work experience in lieu of education
- Experience: Three (3) years of working on project teams and/or managing projects or initiatives involving a variety of stakeholders, preferably in a fast-paced environment
Knowledge, Skills, And Abilities
- Proficient in Microsoft Office Suite and Google Office Suite
- Bilingual in Spanish preferred
- Leverages strong organizational and time management skills, including keen attention to detail, proactive problem-solving, and the ability to adhere to strict timelines
- Excellent multi-tasking skills and ability to manage multiple projects and work-streams happening concurrently
- Effective communication both verbally and in writing, creating public presentations
- Learns quickly and works in a fast-paced environment
- Effectively engages with multiple constituencies
- Works proactively, anticipating the needs of colleagues and assessing potential risks – i.e., the ability to identify problems and anticipate potential problems
- Uses logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems
- Must be a self-starter, taking the initiative to develop self while seeking feedback for continuous growth and improvement
- Cultivates trusting, respectful, professional relationships with team members across the organization
- Provides high levels of customer service to meet varying team and individual needs
