About the role
We are seeking an Operations Assistant at our Denver office in Englewood, Colorado. This is a full-time, in person position from 8 AM to 5 PM, Monday through Friday. The salary range is $55,000 to $70,000 annually depending on experience.
What You’ll Do
The primary responsibility of this position is to support the technical and executive staff from an operations standpoint. We are seeking a high-energy, proactive Operations Assistant to anchor our Denver office. This is not a passive "wait-for-the-phone-to-ring" role. As a young and fast-growing organization, we are still building many of our systems. We need someone who takes initiative, actively identifying operational gaps and filling them before being asked.
Core Responsibilities
- Daily Operations & Facilities Management:
- Front Desk Presence: Greet and route people on the phone and in-person with friendly professionalism.
- Office Stewardship: Keep conference room and common areas clean, organized, and ready for use.
- Mail & Logistics: Coordinate and route incoming mail; prepare outgoing mail and packages.
- Inventory Control: Inventory and purchase materials, supplies, and snacks.
- Facilities & Errands: Manage facilities and equipment, interact with service providers, and run office errands.

- Communication Hub: Communicate with employees, clients, and other individuals to answer questions and disseminate information while monitoring the general email.
- Schedule Coordination: Schedule meetings and arrange travel.
- Finance Administration: Handle basic financial duties, including expense entry.

- Build positive working relationships with local technical staff, executives, and key service providers.

- Demonstrate complete autonomy in managing travel, expense entry, and meeting coordination.
- Identify operational bottlenecks or inefficiencies in our current office systems and implement organized solutions.
- First 365 Days: Operational Excellence & Career Growth
- Anticipate the needs of the executive and technical teams, filling operational gaps seamlessly before they disrupt work.
- Serve as the undisputed backbone of Denver office operations, recognized for maintaining a highly efficient, organized, and welcoming workspace.
- Partner with leadership to shadow, learn, and cross-train in other specialized operational functions that align with company growth and your career goals.
- Anticipate the needs of the executive and technical teams, filling operational gaps seamlessly before they disrupt work.
- Demonstrate complete autonomy in managing travel, expense entry, and meeting coordination.

Experience & Software Profile
- Experience: 0 to 4 years working in areas related to administration and operations.
- Educational Background: An associate or bachelor’s degree in a related field is a plus.
- Operating Systems: Comfortable in Mac OS and Windows.
- Software Proficiency: Highly proficient in the Microsoft Office Suite.
- Bonus: Previous experience in Daylite, QuickBooks Online, Expensify, or Basecamp.
