Operations Assistant

About the role
The Operations Assistant will act as a critical shared resource, supporting the organization’s Operations, Facilities, and Human Resource functions. This role is open to applicants interested in a part-time (32 hour) workweek or a traditional full-time (40 hour) workweek. As the key functions of the role require an in-office presence, candidates must be comfortable working from the company’s Chicago headquarters.
Responsibilities
- Human Resources:
- Maintain employee records, create documentation and process changes related to hiring, promotions, compensation changes, benefit elections and terminations.
- Assist with the recruiting process including posting jobs, scheduling interviews and coordinating onboarding tasks.
- Reconcile monthly benefit invoices.
- Send employee reminders of company policies and respond to employee inquiries.
- Provide support to the Splash (aka Activities) Committee and have an active role in organizing the activities that create an exceptional workplace environment.
- Order, manage, distribute and maintain branded collateral (i.e. Company Swag) to employees and new hires.
- Operations/Facilities:
- Assist with company events, both in person and virtually.
- Provide a welcoming atmosphere when greeting and directing clients and guests to conference rooms for meetings and events.
- Plan, prepare for and support internal and client meetings and events in consultation with leadership, including proficient use of building management software.
- Place catering orders and prepare conference rooms for breakfast and lunch meetings and special office and client events.
- Check and distribute mail electronically to recipients.
- Distribute packages as they arrive from FedEx/UPS.
- Perform daily housekeeping duties to maintain the cleanliness of the café, conference rooms and reception seating area, as well as loading/unloading the dishwasher, monthly cleaning of the refrigerators and maintenance of the coffee machines.
- Order and stock the pantry and café with coffee, tea, water, other beverage supplies, and paper products.
- Manage building-related issues, forms, and maintenance requests.
- Maintain relationships with vendors and building security.
- Submit office-related invoices to Finance for processing.
- Coordinate travel for certain key employees.
- Support team in regular sustainability reporting.
- Other duties as assigned.
Requirements
- Bachelor's Degree in Communications, HR or related field. Work experience in lieu of a degree will be considered.
- Proficiency in Excel, including creating and maintaining spreadsheets, using basic formulas, formatting and organizing data.
- Ability to learn new systems quickly.
- Excellent verbal and written communication skills.
- Possess a self-motivated, resourceful, and organized work ethic.
- Ability to work collaboratively in a team setting with a client service focus.
- Strong problem-solving and time management skills with attention to detail and deadlines.
- Punctuality and satisfactory attendance are imperative.
- Computer literacy in Word and Outlook is required.
Pay
The estimated salary for this position ranges from $22.00 to $30.00 per hour depending on experience. Final compensation will be determined based on the applicant's skills, qualifications, and experience, along with the position's requirements.
Schedule
- Part-time (32 hours per week) or full-time (40 hours per week).
- In-office presence required at the company’s Chicago headquarters.
