About the role

The Operations & Quality Coordinator is responsible for ensuring the accuracy, execution, and compliance of all operational and quality processes across the business. This role owns the day-to-day coordination of orders, systems, vendors, and quality standards to ensure products are delivered correctly, on time, and in full compliance.

Responsibilities

  • Own end-to-end order processing across all systems (QuickBooks, EDI, retailer portals, internal tools)
  • Ensure all orders, POs, and shipments are accurate, complete, and on time
  • Identify and resolve discrepancies before fulfillment
  • Maintain accurate and up-to-date data across all platforms (Data Ninja, QuickBooks, retailer portals, etc.)
  • Ensure alignment between systems (orders, inventory, financial records)
  • Troubleshoot and resolve system or data inconsistencies
  • Inspect and approve raw materials, in-process goods, and finished products
  • Review and approve batch records and Certificates of Analysis (COAs)
  • Maintain quality documentation and ensure audit readiness
  • Support SOP development and adherence
  • Communicate with suppliers to obtain required documentation and ensure compliance
  • Support supplier qualification and ongoing performance
  • Resolve issues related to materials, documentation, or delivery
  • Investigate errors (missed orders, incorrect shipments, data issues, etc.)
  • Identify root causes and implement corrective actions
  • Take ownership of issues through full resolution—not escalation without follow-through
  • Partner with Operations, Quality, and Leadership to support business execution
  • Assist with recalls, audits, and regulatory requirements as needed
  • Support inventory, supply ordering, and general operational coordination

Qualifications

  • 2–4 years in operations, supply chain, or quality coordination
  • Strong attention to detail and organizational skills
  • Experience with order processing systems, EDI, or ERP tools preferred
  • Ability to manage multiple priorities and follow through independently
  • Clear communicator with a problem-solving mindset

Pay

$40,000.00 - $45,000.00 per year

Schedule

Full-time, Monday to Friday, 9am-5pm
