Operations and HRIS Associate - Non US Based

About the Role

As an Operations and HRIS Associate at Vitable, you'll own the data and systems work that keeps our employer clients' benefits accurate and compliant. You'll execute payroll and HRIS integrations, run the operational backbone of our ACA Autopilot program, and make sure employee data moving between client systems and Vitable is clean, complete, and on time. This is a detail-heavy, systems-oriented role for someone who takes pride in getting the data right the first time — and who chases down the missing piece rather than waiting for it to show up.

What You'll Do

• Execute manual HRIS/payroll integrations for client groups — setting up TPA access in client payroll systems, running census uploads, validating employee data (SSNs, DOBs, employment statuses), and coordinating with clients to resolve missing or mismatched information
• Support the ACA Autopilot program — uploading monthly pending offers reports, collecting and normalizing client payroll files to Vitable's template, and preparing data submissions to our compliance analytics partner
• Own recurring monthly data operations end to end: track what's due, what's outstanding, and what's at risk of missing a deadline
• Audit enrollment and eligibility data for discrepancies and drive issues to resolution with clients and internal teams
• Document and refine internal workflows, runbooks, and data-formatting standards as our HRIS and ICHRA operations scale
• Partner with Customer Success, Customer Operations, and Sales so client-facing teams always have accurate data behind them

What We're Looking For

• 2+ years of experience in operations, benefits administration, payroll, or HRIS support
• Experience working with payroll or HRIS platforms (ADP, Paychex, Gusto, Viventium, Rippling, or similar) a strong plus
• Comfort working with spreadsheets and structured data — cleaning files, spotting discrepancies, and following data-formatting standards with precision
• Familiarity with ICHRA, HRA, ACA compliance, or US health insurance marketplaces a strong plus
• Proficiency with HubSpot, Zendesk, or similar tools
• Excellent written and verbal English communication skills
• Detail-oriented with strong follow-through and the ability to manage multiple client groups and recurring deadlines simultaneously
• Based in Mexico, the Philippines, Costa Rica, or Belize (required)
