About the Role

The Psychology Department is seeking an Operations and Finance Manager to support current departmental operations and the development of two new professional psychology graduate programs within Harpur College. This role will initially assist the existing Operations and Finance Manager while playing a key part in launching the new Counseling and Applied Psychology department. Over time, responsibilities will shift toward managing the operations and financial infrastructure of this new department, which will house master's-level programs in mental health counseling, applied psychology, and behavior analysis. These programs aim to meet workforce demands, expand opportunities for undergraduate students, and positively impact the community.

This dynamic position requires critical thinking, flexibility, independence, and the ability to provide and accept professional feedback. The successful candidate will contribute to fostering a diverse and inclusive community, recognizing its impact on innovation and success.

Responsibilities

  • Assist with managing departmental financial accounts, tracking revenues/expenses, fund transfers, and budgeting.
  • Update the monthly financial database and utilize Business Intelligence platforms for reporting.
  • Support departmental purchasing and process HR paperwork.
  • Assist with curricular planning, including course scheduling logistics.
  • Contribute to academic and business proposal development, coordination, and execution in consultation with the team.
  • Oversee and coordinate faculty recruitment and hiring processes for new faculty and staff.
  • Serve as a representative of the master's programs and department to administrative units within Harpur College and the university.
  • Manage schedules for department and program meetings, including room scheduling, minute-taking, and follow-up on action items.
  • Process travel and expense reports.
  • Assist in developing annual reports and preparing for program accreditation.
  • Maintain records and assist with annual accreditation documents and related files.
  • Collate and organize information for proposals, external reviews, hiring proposals, licensure, and accreditation.
  • Coordinate travel, meetings, and hiring processes as needed.
  • Manage departmental space, equipment, facilities, and technology matters.
  • Coordinate special event programs.
  • Maintain responsive communication with relevant parties via meetings, email, and phone.
  • Draft and revise documents, including memos, reports, budget narratives, policy manuals, and procedural documents.
  • Maintain contacts with campus offices to support initiatives and collaborate with internal and external constituents.

Requirements

  • Bachelor’s degree (or higher) by August 1, 2026.
  • 2+ years of professional experience.
  • Proficiency with computer software, including office products, email, online calendar management, and database management.
  • Ability to interact and communicate effectively, professionally, and tactfully with a diverse community of students, faculty, staff, and visitors.
  • Strong organizational skills and attention to detail.
  • Creative and independent problem-solving skills.

Qualifications

  • Master’s degree.
  • Professional experience in higher education.
  • Experience with professional graduate programs.
  • Advanced skills in Microsoft Excel and Word.
  • High comfort level with budgeting systems.

Pay

$57,151
