Operations Admin Specialist

About the role
Our Operations Administrative Specialist will provide comprehensive administrative and systems support to Operations Senior Leadership, Finance, and Human Resources. This role serves as the primary front desk representative for the facility, ensuring professional customer service for visitors and callers while maintaining critical team member and operational data across multiple business systems. This individual will play a key role in supporting workforce administration, operational reporting, and team member lifecycle transactions for the Automotive group in the US and Mexico.
Responsibilities
- Front Office and Team Member Customer Service
- Serve as the first point of contact for visitors, vendors, team members, and callers.
- Professionally answer, screen, and direct incoming phone calls.
- Greet guests and coordinate visitor sign-in procedures.
- Manage general inquiries and direct individuals to appropriate resources.
- Support facility communication and front office activities.
- Provide admin support to Operations, Finance and HR Leaders.
- Assist with preparation of reports, presentations, spreadsheets, and operational communications.
- Coordinate meetings, schedules, and department activities as assigned.
- Sort incoming mail and parcel packages, delivering to assigned departments.
- Support operational initiatives and special projects assigned.
- Systems Administration and Data Maintenance
- Maintain team member and operational data in XA, ATM, MES, UKG, and other company systems.
- Coordinate documentation and reporting requests between operations, finance and HR teams.
- Support onboarding, team member documentation and record management, and workforce administration activities.
- Process team member changes, including hires, terminations, transfers, department changes, shift changes, and position updates for our Mexico facilities.
- Maintain team member records in accordance with company policies and compliance requirements.
- Support recognition programs, milestone awards, team member engagement initiatives, and other programs.
- Update team member information, access, badges, schedules, and system permissions as needed.
- Ensure accuracy and timeliness of workforce data across multiple platforms.
- Assist with calendar setup, organizational structure updates, and departmental maintenance within business systems.
- Process and maintain Mexico team member records in UKG.
- Maintain tracking spreadsheets and documentation.
- Support audit and compliance activities.
- Ensure accurate filing and retention of required documentation.
Requirements
- High school diploma or GED.
- Associate degree preferred or equivalent work experience.
- 2+ years of experience in administrative, operations support, HR, payroll, or office administration roles.
This is a full-time, hourly on-site position. Normal workdays are Monday through Friday. Work hours 8:00am -4:30 pm, may vary based on business needs. Overtime, weekends, and additional hours may be required as needed.

Schedule
Monday through Friday, 8:00am - 4:30pm. Hours may vary based on business needs. Overtime, weekends, and additional hours may be required as needed.
