About the role

Join Blackwave Texas as Operations & Admin Coordinator: be the heartbeat of our new facility — keep things running smoothly, connect Germany and Texas, and empower our space team.

About Blackwave

Blackwave designs, manufactures and ships flight-qualified, commercial off-the-shelf composite overwrapped pressure vessels (COPVs) for launch vehicles and satellites. Founded in 2016 and headquartered in Munich, Germany, the company delivers COPVs from a standardized portfolio with flight heritage. The approach reduces lead time from months to days while ensuring that each tank is qualified and flight-ready. Blackwave's mission is to end COPV failure in spaceflight. The company employs more than 150 people across manufacturing facilities in Germany and Texas.

Description

Blackwave is building the operational backbone of its Texas facility — and we're looking for an Operations & Admin Coordinator who knows how to get things done without being asked twice.

  • If you are energized by making an organisation run smoothly, thrive in a startup environment where no two days look the same, and take pride in being the person who quietly keeps everything in order, this role puts you at the centre of Blackwave's U.S. operations.

What You'll Do

  • Be the boots on the ground — physically present at the Port San Antonio / Lockhart site to handle tasks that require someone there: receiving deliveries, coordinating with local vendors, managing the space, and resolving issues as they arise
  • Execute on direction from Germany — act as the reliable local extension of the Taufkirchen team, translating priorities from headquarters into action on the ground without needing heavy oversight
  • Support the Office Manager and People & Culture lead — working closely with both to ensure HR processes, onboarding logistics, office operations, and culture initiatives are executed smoothly at the Texas site
  • Own the administrative layer locally — handling correspondence, record-keeping, compliance deadlines, vendor relationships, and facility coordination
  • Manage invoices, expense reports, and basic finance coordination with the accounting team
  • Be the connective tissue between operations, HR support, and facility management — ensuring the three functions stay coordinated and nothing gets lost between them

What You Bring

  • Experience in an administrative, office management, or executive assistant role
  • Proficiency in Microsoft 365 (Word, Excel, Outlook, Teams) or equivalent
  • Basic familiarity with finance operations — invoices, expenses
  • Experience coordinating with local vendors, contractors, or service providers
  • Comfort with HR administrative tasks — onboarding paperwork, file management, benefits coordination
  • Awareness of basic US business compliance requirements (permits, registrations, insurance)
  • Fluency in English — written and spoken, strong enough to represent the company externally
  • Spanish or German language skills are a strong advantage

What Makes You Successful Here

  • Ownership mentality — you treat every task as yours until it is fully closed
  • Service orientation — you are motivated by making the team around you more effective
  • Proactiveness — you notice what needs to happen next and move without being prompted
  • Respect for detail — you get things right: the correct name, the right figure, the deadline met early
  • Startup mindset — you thrive in an environment where processes are still being built and no two days are identical
  • Discretion and professionalism — you handle sensitive information and represent Blackwave well in every interaction

Location

  • This role is fully on-site — physical presence at the facility is essential and non-negotiable
  • Our current production site is located in Lockhart, Texas (near Austin / San Antonio)
  • In mid-2026, Blackwave will relocate to a new facility at the Port San Antonio aerospace hub
  • Occasional early morning availability may be needed for alignment calls with the team in Germany (CET)
