Job Summary

The Operating Room (OR) Scheduling Coordinator 1 schedules surgical procedures and adjusts schedules to maximize resource use. The coordinator notifies appropriate personnel of scheduled dates and times. This position also maintains related systems and performs other duties.

Essential Functions of the Role

  • Coordinates customer needs to plan patient care and create a positive experience for patients and internal customers
  • Instructs patients on tests, procedures, appointments, check-in locations, and other general information professionally and courteously, following policies and procedures
  • Captures and communicates hospital admissions and patient needs as needed
  • Answers and screens phone calls for the office or department. Routes calls within customer service guidelines. Accurately records messages and delivers them promptly. Checks voicemail frequently
  • Effectively screens and edits confidential correspondence and documents
  • Fulfills administrative tasks such as maintaining patient confidentiality, editing electronic blue tickets, communicating to departments when surgery blocks are returned, releasing and reassigning returned surgery blocks, building new blocks periodically and redistributing them according to utilization, attending block booking meetings, coordinating with clinic training staff to provide education on scheduling software and block booking, adding, editing, transferring, deactivating, and maintaining staff in the perioperative database (I-Path and PARIS) with correct security access and passwords, monitoring, reporting, and working with the IS Administrator to resolve database issues

Key Success Factors

  • Knowledge of medical terminology, diagnostic coding (CPT/CD9 preferred) and basic math skills preferred
  • HAR Appointment Manager preferred or other scheduling system software knowledge
  • Performs job duties following organization and departmental safety policies and procedures
  • Completes annual safety updates through the organization's computerized education system
  • Reads, knows, and signs the MSDS manual annually
  • Exceptional attention to detail, with time management skills

Qualifications

  • H.S. Diploma/GED Equivalent
  • 1 Year of Experience
